The Workplace Experience Manager will be responsible for providing a positive and seamless experience for our in-office employees while managing day-to-day office operations. The role is broad and varied and is an ideal fit for an individual who is creative and flexible to support our team and office operations to create a wonderful workplace experience. This role will mainly manage the daily operations of the London, UK office with additional responsibilities to provide remote support for the daily operations of the Sydney, AUS office and to other employees in the EMEA region. We are seeking positive, enthusiastic and people-oriented candidates with an impeccable work ethic and genuine excitement for workplace operations and contributing to an amazing employee experience.
Interested candidates in this role must commit to working 5 days on site Monday through Friday. Being on site is required and a non-negotiable for the role.

What You'll Do:
- Manage an efficient, safe, organized, well-equipped and supplied London, UK office. This includes maintaining the workplace appearance to ensure a clean and welcoming environment
- Own coordination with London building management and facility maintenance to address projects and tasks related to office operations
- Provide remote support to other EMEA region employees for workplace needs
- Provide remote support to the Sydney, AUS office to facilitate an efficient, safe, organized, well-equipped and supplied office
- Manage and administer the pantry and food programs for the London, UK and Sydney, AUS offices
- Partner with the IT team to assist with effective and safe workstation setup for all employees including new hires, current employees, and visitors
- Manage and assist with purchasing and procurement for workplace needs. Manage and coordinate invoices, credit card expenses, and managing the relevant workplace budget
- Manage and arrange for workplace repairs, replacements, maintenance as required
- Proactively and regularly communicate with employees on relevant workplace projects and plans
- Assist with relevant vendor relationship management
- Manage and administer social events and office events for the London, UK office which may include remote EMEA employees. This will include being physically present to coordinate and manage the event on the day of.
- Remotely manage and support social events and office events for the Sydney, AUS office
- Coordinate and manage mail services and shipping services for the London, UK office. Assist with EMEA region mail services and shipping as needed.
- Assist the General Manager, EMEA with diary management and coordinating travel arrangements.
- Regularly report workplace information and themes to leadership to strive to improve operations, programs, and procedures
- Partner with the wider People team to coordinate and execute on wider People programs and initiatives
- Work closely with the Human Resources team to ensure policies and procedures are well developed, distributed to the relevant employees, and adhered to, as well as monitor for employee sentiment and retention regarding workplace environments
- Any other tasks that may be assigned to help the company meet its goals
What You'll Bring:
- Minimum of 3 years of experience in Office Administration/Coordination is required
- Experience coordinating or managing a high-growth tech workplace is strongly preferred
- Highly proficient in Microsoft Office Suite and G-Suite. Coupa experience is nice to have
- Sense of ownership and pride in your performance and its impact on the Company’s success
- Strong communication and interpersonal skills to engage the team and contribute to a positive and productive work environment
- Ability to work swiftly within time constraints and adapt to changing priorities while remaining calm with varying projects and demands
- High collaborative mindset with a focus on finding scalable solutions, driving positive outcomes, and doing what is best for the business
- Comfortable with change, ambiguity, and risk and can comfortably adapt and respond to a fast-paced high growth environment
- Ability to turn obstacles into challenges keep with a proactive and positive approach to solving problems
- Impeccable work ethic and integrity with high ethical standards
- The role requires physical work including, but not limited to, sitting, standing, walking, lifting, moving. Ability to use arms and legs to lift up to 14kg as needed
