We are seeking an experienced, dynamic and resilient Personal Assistant (PA) to support our expanding C-Suite leadership team (excluding the CEO). Operating within a fast-moving business in the UK, this role is ideal for an individual who thrives on organisation, communicates with clarity, and enjoys ensuring things run smoothly behind the scenes.
You will be a discreet and trusted point of coordination, providing critical administrative and operational support to multiple senior executives. The position requires a robust professional who is comfortable taking direction from several stakeholders, confident in managing competing priorities, and possesses a strong sense of ownership with a “no job too small” attitude.
As the C-Suite continues to grow, this role will be instrumental in building stable, efficient executive support structures that enable leadership to focus on strategic delivery.
Key Responsibilities:
Scheduling, Meetings & Coordination:
- Manage complex calendars, appointments, and meetings across multiple C-Suite executives, proactively identifying and resolving conflicting priorities.
- Coordinate internal and external meetings, ensuring effective time management and alignment across leadership.
- Assisting with prioritisation and follow-ups.
- Attend meetings when required to take clear, actionable notes.
- Maintain and oversee detailed action logs, ensuring commitments and deadlines are met.
- Prepare agendas, briefing documents, presentations, and supporting materials in advance of meetings.
Administration, Logistic & Communication:
- Plan and manage all domestic and international travel, including flights, accommodation, itineraries and visa requirements
- Process and manage expenses in a timely and accurate manner, ensuring compliance with company policies.
- Experienced in using the MS Office suite to produce professional documentation including reports, agendas, presentations, and spreadsheets.
- Work confidently within SharePoint, MS365, and other digital workflow tools to coordinate document handling, maintain secure filing systems, and ensure meticulous record keeping.
- Act as a professional interface, liaising effectively with internal teams, external stakeholders, partners, and service providers on behalf of the C-Suite.
- Support day-to-day business administration and executive correspondence.
- Ensure the professional and discreet handling of confidential information, upholding the highest levels of discretion, integrity, and professionalism at all times.
Experience & Skills:
- Proven experience as a Personal Assistant, ideally supporting multiple senior executives or C-Suite leaders.
- Confident in managing competing priorities across several stakeholders and projects simultaneously.
- Strong IT skills, particularly with Microsoft Office, MS365, SharePoint, and digital workflow tools.
- Excellent organisational, written, and verbal communication skills.
- Strong attention to detail with the ability to anticipate needs and solve problems proactively.
