Personal Assistant

Salary: £40,000 per annum, plus company benefits

Location: Charterhouse Street, London, EC1M 6HR

Contract: Full time, permanent

Shifts: 37.5 hours per week, Mon– Fri, 9am-5:30pm with a 1-hour unpaid break

Work model: Hybrid working after 3 months

Purpose of the Role

As a Personal Assistant, you will provide proactive, high-level support to a team of fee earners within the Public & Regulatory and Information Law teams, enabling them to work efficiently and effectively. Your support will be seamless, professional, and consistently of the highest standard. You will exercise strong self-management, take initiative, and maintain strict confidentiality at all times.

You will also act as the workflow manager for other support services, delegating and overseeing tasks such as document production, file management, and copying/scanning—tasks primarily handled by other business support teams. You will report directly to the PA Manager.

Key Responsibilities

In line with firm policies and procedures, you will:

  • Provide high-level PA support to the Head of Team/Partner
  • Proactively manage complex diaries, scheduling internal and external meetings
  • Serve as a client liaison, handling communications via email, telephone, and in person, maintaining the firm’s high standards of client care
  • Support fee earners with finance-related tasks such as requesting payments (cheques, CHAPS/BACS), processing bank transfers, and managing incoming funds
  • Maintain accurate and up-to-date client records within the firm’s client relationship management system, ensuring compliance with policies
  • Coordinate fee earners’ movements and arrange travel plans
  • Manage the client and matter inception process to ensure timely file openings in accordance with firm policies
  • Oversee the timely submission of partner/fee earner expenses
  • Answer telephone calls promptly, taking clear, detailed messages when needed
  • Coordinate the completion of document production, including managing digital dictations, manuscript amendments, e-filing, photocopying, scanning, courier services, and correspondence dispatch
  • Actively participate in relevant training and development opportunities
  • Demonstrate flexibility in working practices to meet business needs, especially during high workload periods
  • Support other department members proactively and on request, collaborating effectively with other legal and support teams
  • Undertake any other reasonable duties as requested by fee earners or your line manager
