Purpose of the Role
We are looking for a proactive, driven, and professional Personal Assistant who thrives in a collaborative environment and enjoys being part of a supportive, high‑performing team. You will provide seamless support to three executives within our UK Leadership Team while also contributing to the wider community of PAs and EAs across the UK.
This is an excellent opportunity for someone keen to develop their PA career, gain exposure to our industry and work closely with senior executives. You will divide your time between our London office and working from home. The role suits someone who is execution-oriented, meticulous with detail, and brings a solutions-focused, positive attitude.
Key Responsibilities
Executive Support & Diary Management: Manage complex diaries via Outlook, scheduling internal and external meetings, anticipating clashes, and ensuring forward planning for agendas, preparation materials, and meeting content.
Meeting Coordination: Organise all logistics for internal and external meetings, including room bookings, attendee coordination, timings, refreshments, equipment, agendas, minutes, and follow‑up actions.
Travel & Logistics Management: Book and coordinate all travel requirements, including flights, accommodation, trains, taxis, car hire, and visa arrangements, ensuring cost-efficient and smooth itineraries.
Administration & Documentation: Produce high‑quality documents, presentations, and reports using PowerPoint, Word, Excel, and Adobe Acrobat. Maintain accurate timesheets, manage expenses, and support inbox management for executives.
Team Collaboration & Support: Work closely with the UK PA/EA team, providing cover when needed, sharing best practice, and contributing to a supportive and well-connected team culture.
Event & Activity Coordination: Arrange internal and client-facing lunches and dinners, support ad hoc event planning, and assist with projects as required across the Leadership Team and wider organisation.
Person Specification
Proven PA Experience: Proven experience in a Personal Assistant or similar administrative role, with a track record of supporting senior stakeholders.
Strong Technical Proficiency: Competent in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat and SAP Concur, with the ability to produce well-presented documents and manage digital workflows effectively.
Exceptional Organisation & Attention to Detail: Highly organised, able to prioritise effectively, and meticulous in ensuring accuracy across all tasks, documents, and arrangements.
Proactive & Forward-Thinking Approach: Always thinking one step ahead, anticipating needs, and demonstrating a solutions‑focused mindset and strong initiative.
Professional Discretion & Communication: Able to build strong relationships with senior colleagues, maintain confidentiality, and communicate clearly and confidently.
Flexible & Adaptable Working Style: Calm under pressure, comfortable managing change, and enthusiastic about contributing broadly to a dynamic team environment.

The team is based in our London office but operates under flexible working arrangements. The team are currently in the office every Tuesday and Thursday.
