HR Administrator

LOCATION: Aylesford, Kent, Office based

WORKING HOURS: 8.00am – 4.30pm

CONTRACT: Full-time, Permanent

We're looking for a HR Administrator to join our growing team at Pineapple.

What We’re Looking for

You will provide accurate and efficient administrative support across the employee lifecycle, ensuring HR records, processes and documentation are maintained to a high standard.

The role will act as a first point of contact for routine HR queries and will support the wider HR team with recruitment, onboarding, employee relations administration, benefits, payroll changes and general HR projects.

What You'll Be Doing

  • Maintain accurate employee records, personnel files and HR systems, ensuring compliance with GDPR and company policies.
  • Administer the employee lifecycle, including onboarding, inductions, probation reviews, contractual changes and leaver processes.
  • Prepare and issue employment documentation, including offer letters, contracts and amendments.
  • Coordinate pre-employment checks, including references, right-to-work and DBS checks.
  • Record and update employee information, including absence, family leave and other employee changes.
  • Monitor and maintain HR systems, training platforms and organisational charts.
  • Support recruitment administration and onboarding activities.
  • Prepare HR reports and people data, ensuring accuracy and confidentiality.
  • Provide administrative support for employee relations processes, including meeting coordination and note-taking.
  • Monitor the HR inbox and respond to employee queries in a timely manner.
  • Support HR projects, employee engagement initiatives and continuous improvement activities.
  • Undertake any other reasonable duties as required by the business.

What success looks like

You will deliver accurate, timely HR support while providing an excellent experience for colleagues and helping the HR team operate efficiently.


Requirements

Ideally, you’ll have:

  • Previous experience in an HR administration or similar people-support role.
  • Ideally CIPD Level 3 qualified (or similar qualification) or currently working towards it.
  • Experience using Cascade or a similar HR information systems.
  • Confident using Microsoft Office.
  • High level of accuracy and attention to detail.
  • Ability to handle confidential and sensitive information appropriately.
  • Strong organisation skills and ability to manage competing deadlines.
  • Able to recognise when an issue should be escalated.
  • Professional, approachable and comfortable dealing with employees and managers at all levels.
  • Strong written and verbal communication skills.
