The job

The Contract Specialists perform a range of duties including: ensuring Trade Compliance, preparing the basic contracts with AVEVA’s standard templates, supporting bidding processes and supporting with necessary documents for customers, and covering administrative tasks.

Contract Specialists are focused on preparing standard contracts based on AVEVA’s templates, support senior team members, demonstrate excellent attention to detail abilities. In addition to be an excellent communicator, Contract Specialists should also possess basic knowledge of contractual regulations, contract agreements, and legal terminology.

Responsibilities

• Serve as the main liaison (single point of contact) with AVEVA’s Sales representatives, interfacing with the rest of functions and departments, following up to obtain all necessary information, ensure alignment and delivery in the required timeframe.

• Support Trade Compliance activities such as Amber Road checks and KYC protocol, ensuring that the customers al cleared before starting any contractual relationship, and during the lifetime of their contracts with AVEVA.

• Ensure that customers have obtained a positive reply related to their credit checks and obtained credit limits (activity performed by finance) before transacting with them.

• Support the sales function bidding and prequalification activities with our customers (helping to provide information about AVEVA, Annual Accounts, Quality certificates, required insurance etc)

• Prepare (under supervision of Legal and other senior members of the Contract Management team) standard contracts between AVEVA and potential customers for products and services.

• Ensure the effective application of any required approvals, company policies, due diligence, and commercial advices.

• Facilitate and support the signature of contracts by all parties.

• Store all working papers and signed documents in the corresponding archives, including the inclusion of any references and metadata.

• Draft, prepare and edit (under supervision of Legal and other senior members of the Contract Management team) documents such as Non-Disclosure Agreements (NDAs), Termination Letters, Novation Letters, Price Escalation notifications etc.

• Prepare reports, providing contractual information to internal stakeholders (contract copies, information related to price escalation when available)

• Coordinate with the Sales team and Business Operations to guarantee terms of contracts are fulfilled in compliance with the contract terms and regulations. • Support with the administrative tasks that may arrive related to the department.

Skills & Qualifications
• Strong organizational skills, you will be able to establish priorities, meet deadlines and targets
• Energetic, proactive, attention to detail and a strong team player
• Excellent communication skills in both verbal and written
• English and German Language proficiency to a C1/C2 level. Other languages will be valued.

Beneficial Skills & Qualifications

• Previous contractual experience
• Previous legal background is advantageous

• Experienced using other tools such as Salesforce, Sharepoint, Acrobat and Docusign CLM.
