Our Client Services team plays a key role in the delivery of our client accounts and events. This is an extremely busy, fast-paced, exciting and diverse area of the LIVE·TEAM business, delivering projects throughout the UK, Europe and globally.

The role sits within our Orpington team and will involve working between the office, client locations, event venues and other project sites as required.

WHAT YOU WILL BE DOING:

You will work as part of an experienced and dynamic team, primarily focusing on the successful management and operational delivery of conferences, corporate events, meetings, experiential activations, graphics, branded environments and event merchandise.

You will manage projects throughout their full lifecycle, from initial brief and concept development through planning, procurement, production, installation, live delivery and post-event review.

Project planning is central to the role. You will also be involved in client and stakeholder management, budgeting, venue and supplier coordination, graphics production, merchandise and promotional item purchasing, feasibility reviews, logistics, administration, on-site delivery and project support.

The job role will include tasks and responsibilities such as:

  • Supporting client services team members with the planning and delivery of conferences, meetings, corporate events, experiential activations and branded environments.
  • Helping to maintain project plans, timelines, workback schedules, action lists, contact sheets and approval trackers .
  • Coordinating routine project communication with colleagues, venues and suppliers and escalating decisions, risks or changes to the appropriate project lead.
  • Assisting with responses to briefs, presentations, cost schedules, project updates and other client-facing materials.
  • Supporting the coordination of event graphics and signage, including artwork collation, specification checks, proof tracking, approvals and delivery schedules.
  • Assisting with the sourcing and ordering of merchandise, promotional products, gifts and event materials, including samples, approvals, quantities and delivery details.
  • Obtaining supplier quotes, raising purchase order requests, updating cost trackers and helping to keep project records accurate and current.
  • Coordinating practical event logistics, including equipment, materials, couriers, deliveries, storage, transport, venue access and installation schedules.
  • Liaising with our internal design studio, procurement department, production and operations teams to help ensure agreed project elements are delivered on time and to specification.
  • Supporting venue and supplier research, availability checks and the preparation of briefing information.
  • Preparing meeting agendas, taking notes, recording actions and following up on agreed next steps.
  • Maintaining organised project files, supplier information, status reports and other project documentation.
  • Assisting with event set-up and/or supplier coordination, installation activity and live-event troubleshooting.
  • Following established health and safety processes, venue requirements and company working practices, and raising concerns promptly.
  • Helping with post-event administration, including collecting feedback, updating final costs, checking invoices, organising project files and documenting lessons learned.
  • Building positive working relationships with clients, colleagues, venues and suppliers while representing THE·TEAM professionally.
  • Providing flexible support across a range of client accounts and projects in line with business priorities, workload and development needs.

THE SKILLS AND EXPERIENCE YOU NEED:

  • Approximately 1–3 years of relevant experience in events, conferences, hospitality, experiential, production, project coordination, client services or a related environment; strong internships or placement experience may also be considered.
  • A genuine interest in live events, production, brand experiences and client service, with a willingness to learn from more experienced team members.
  • Good organisational and time-management skills, with the ability to keep track of several tasks, deadlines and details at once.
  • Clear and professional written and verbal communication skills.
  • Confidence communicating with colleagues, suppliers, venues and client contacts, while recognising when to seek guidance or escalate an issue.
  • Good attention to detail across schedules, costs, artwork, orders, logistics and project administration.
  • Comfort working with Microsoft Word, Excel, PowerPoint and Outlook; experience with project trackers or event planning tools is helpful.
  • Basic numerical confidence and an interest in developing commercial awareness, including quotes, purchase orders, costs and budget trackers.
  • A practical, solutions-focused approach and the ability to stay calm when priorities change.
  • A collaborative attitude, reliability and a willingness to support the wider team with both planned tasks and hands-on event activity.
  • An understanding of the importance of brand consistency, quality control and accurate delivery.
  • Openness to feedback and a proactive approach to learning and professional development.
  • A willingness to travel within the UK and Europe, and occasionally further afield, depending on project requirements.

Please note that, owing to the nature of event and conference delivery, the role may occasionally require unsociable working hours, including early mornings, evenings, overnight work and weekends. Travel within the UK and internationally may also be required depending on project needs.
