AR Analyst, Credit Control Administrator | London

About Convene Hospitality Group

Convene Hospitality Group designs and operates experiential event venues, bringing premium meeting and event experiences to some of the world’s leading organisations. Through a growing portfolio of brands including Convene, etc.venues and NeueHouse, we operate a network of nearly 40 venues and are the largest single provider of dedicated meeting and event spaces across the US and UK.

The UK is central to that story. From our Convene venues across the City of London to etc.venues in London and Manchester and with our new West End destination (Convene Rathbone), our UK footprint continues to grow and so does the pace of the events we deliver. Every conference, board meeting and live event our clients host relies on a finance team that keeps things moving behind the scenes.

About the Role

We are seeking an organised and proactive AR Analyst, Credit Control Administrator to support our UK market by managing portal administration, purchase order tracking, payment processing and day-to-day credit control. You’ll sit at the point where finance meets live operations: securing POs before events go ahead, uploading invoices to client portals, and running urgent collections for upcoming events so our venue teams can focus on delivering exceptional experiences. It’s a hands-on role for someone who enjoys a fast-moving environment and takes pride in getting the detail right.

What You’ll Do

Transactional Processing & Admin Support:

  • Sync new accounts, billing details, and AP contacts between CRM systems and NetSuite
  • Turn around closed-won Enterprise/Credit Term opportunities, verifying alignment with complex Master Services Agreements (MSAs), custom schedules, and enterprise credit terms
  • Log billing queries, maintain detailed records of customer communication, and support month-end administrative tasks

Portal Management & Invoice Uploads:

  • Proactively chase and secure missing Purchase Orders (POs) from clients and sales teams to prevent billing delays
  • Attach/add Purchase Orders (POs) to customer invoices immediately upon receipt and re-issue updated invoices as needed
  • Set up and maintain customer vendor portals (e.g., Coupa, Ariba, Taulia)
  • Upload final invoices, credit notes, and supporting documentation directly to customer portals
  • Process payment link requests from customers or sales teams to facilitate quick card payments
  • Handle all customer billing address amendments and billing contact updates in NetSuite/CRM

Urgent Pre-Event Collections & Credit Control:

  • Lead urgent chasing for upcoming events with unpaid deposits due that week to safeguard revenue prior to event execution
  • Issue routine customer account statements
  • Send Deposit Exception Report and Final Invoices Without Acknowledgment reporting
  • Assist the Senior AR Analysts with routine administrative collection tasks and initial outreach, as required
  • Log billing queries, maintain detailed records of customer communication, and support month-end administrative tasks

Experience Required

  • 1-3 years of experience in Accounts Receivable, Credit Control, or Sales Operations
  • Assertive communication style with strong attention to detail and urgency around event-driven deadlines.
  • Hands-on experience with NetSuite and Microsoft Excel.
