The Job, in a Nutshell

Orbital's London office isn't just a place to sit - it's where culture comes to life, where collaboration gets real, and where the best version of our company shows up every day. We need someone to own that.

As Workplace Experience Manager, you'll be the person who makes in-person time feel intentional, energising, and genuinely worth showing up for. You'll spot what needs improving before anyone else does, elevate what's already good into something exceptional, and care deeply about the details that most people never notice - but everyone feels.

This isn't a head-down admin role, and it's not a purely strategic one either. We want someone who can define what "great" looks like and then go make it happen - someone equally at home rethinking the summer party concept and making sure the snacks never run out.

You'll report into our Head of Operations and be based in our London office five days a week.

What You'll Do

Elevate the Workplace Experience

Our office should feel like the best version of Orbital - energising, considered, and somewhere people genuinely want to be. You'll own that. Not by waiting for someone to point out a problem, but by constantly asking what would make this better - and then making it happen.

You will:

  • Assess what’s working and what isn’t, and proactively improve it

  • Refine layout, flow, rituals, and small details that shift perception

  • Raise standards without being asked

You’ll play a central role in shaping our new London office and ensuring the space supports how we work.

Deliver events and rituals that matter

From Wednesday lunches to the summer party, from All Hands to company off-sites - every in-person moment is a chance to reinforce culture, build real connection, and make people feel good about where they work. You'll own the events calendar end-to-end and make sure every event is considered, well-executed, and genuinely worth people's time.

You will:

  • Develop clear concepts and briefs

  • Manage vendors and budgets confidently

  • Create simple communication plans to drive attendance and engagement

  • Design lightweight feedback loops, analyse results, and continuously improve

Run a flawless operation

Great workplace experience starts with a workplace that just works. Snacks stocked. Meeting rooms set up. Vendors sorted. You'll build the systems and habits that keep the fundamentals running so smoothly that nobody has to think about them - because you already have.

You will own:

  • The overall standards and day-to-day functioning of the office environment

  • Vendor relationships, facilities coordination, and office supplies

  • Organising weekly lunches and keeping snacks stocked

  • Health & safety essentials

  • AV and meeting room setup (calls work, screens connect, rooms are ready)

  • Desk booking software: managing the platform and ensuring it reflects real attendance patterns

  • Meeting room scheduling and utilisation: preventing friction and resolving booking issues

You’ll proactively monitor how the office operates, spotting and resolving issues before they surface.

Own the first impression

Whether it's a candidate walking in for their first interview or a new joiner arriving on day one, you're often the first face of Orbital people meet in person. That moment matters more than most people realise. You'll make sure it's warm, considered, and sets exactly the right tone.

Working closely with the People and Talent teams, you will:

  • Ensure interview days run smoothly, including preparing rooms and coordinating logistics

  • Be the welcoming face for candidates on interview days, stepping in as the on-site host when the Talent team aren't available

  • Send welcome emails to new joiners ahead of their start date and add them to the new starter programme calendar

  • Arrange travel for new joiners who are onboarding at another Orbital office

  • Meet new joiners on their first day and lead the office induction alongside IT

  • Act as the primary office point of contact throughout the onboarding period

  • Reinforce and strengthen our employer brand through every in-person interaction with candidates and new joiners

A brilliant office initiative that nobody knows about isn't brilliant. You'll make sure people are informed, excited, and showing up - by communicating clearly, consistently, and with real personality.

You will:

As part of the wider Back Office ecosystem, you’ll support operational processes where workplace and wider operations intersect.

  • Standardising the global office experience: Working alongside our US Office Lead to ensure that everyone at Orbital has a great office experience, regardless of where they are based.

  • High standards, discretion and strong attention to detail

  • Strong operational reliability: you create systems so basics don’t break

  • Proactive ownership: you don’t wait for detailed briefs

  • Background in hospitality or events

Why this might not be for you
  • You see operational work as beneath you. This role involves ordering supplies, sorting the kitchen, and dealing with day-to-day logistics. If you're after a purely strategic position, this isn't it.

  • You prefer steady rhythms or high predictability. There will be weeks where an event or a project requires extra effort. We don't expect it constantly, but flexibility matters.

  • You're not comfortable being in the office most days. This is an in-office role.

  • Large, established companies are more your speed. We're a growing Series B company. Things change, processes are still being built, and comfort with ambiguity is essential.

  • Details don't excite you. The gap between a good workplace and a great one lives in the small things. If you're not someone who cares whether each meeting has a room that works for their agenda or an event feels thoughtful, this won't bring out your best work.
