The Team Assistant provides day‑to‑day administrative support to across various business functions within the London office.
This is a junior, development focused role working closely with the Senior Executive Assistant and Personal Assistant to ensure smooth coordination of diaries, travel, expenses, and team logistics.
The role aims to enhance administrative capability and may provide exposure that could be beneficial for someone considering a PA career over time.
The Team Assistant will also support wider office activities, including events coordination and ad‑hoc admin projects, and will provide occasional cover for the London admin team.
ROLE RESPONSIBILITIES
Provide basic diary support and help coordinate internal and external meetings.
Assist with meeting logistics including room bookings, refreshments, call links, and materials.
Act as a friendly and helpful point of contact for everyday admin needs.
Support the PA and Senior EA with routine administrative tasks as required.
Assist with booking travel arrangements for senior management (flights, hotels, transport), as well as other teams as required.
Help prepare itineraries and gather required travel information.
Expense processing for senior management.
Support wider travel bookings when requested by the PA or Senior EA.
Assist with office-wide event coordination, such as holiday events, fireside chats, and conferences.
Support the management and distribution of branded merchandise and office supplies.
Partner with the Senior EAs, PAs and Facilities & Administration teams to ensure a smooth client and employee experience.
Provide basic cover for EAs & PAs during periods of leave (with support and guidance).
Support cross-departmental admin projects or ad‑hoc tasks as needed.
SKILLS, KNOWLEDGE & EXPERIENCE
Essential
Some experience in an administrative or FOH role.
Strong working knowledge of Microsoft Office.
Excellent organisation and attention to detail.
Clear communication skills and a professional approach.
Ability to manage multiple tasks and follow instructions accurately.
Willingness to learn and take guidance from senior admin staff.
Ability to maintain confidentiality and demonstrate discretion.
Calm, adaptable, and proactive.
Desirable
Some experience coordinating travel and expense systems.
Exposure to financial services or insurance environments.
Experience supporting a busy team or office environment.
