The role.
As a Talent Acquisition Coordinator at Zilch, you’ll be the go-to Zilcher in our hiring process, keeping everything running smoothly from start to finish! You’ll be the friendly face behind the scenes, making sure candidates and hiring teams have a seamless, enjoyable experience every step of the way. Whether it’s scheduling interviews, keeping candidates in the loop, or lending a hand to hiring managers, your knack for organisation and attention to detail will help us build an unforgettable hiring experience. Day to day responsibilities.

  • Coordinate and schedule interviews, including phone, virtual, and in- person meetings, for candidates across various roles and departments.
  • Serve as the primary point of contact for candidates, providing timely updates, interview confirmations, and ensuring a positive candidate experience.
  • Handle all live roles from start to end.
  • Manage and maintain applicant tracking systems (ATS), ensuring candidate information and hiring data are accurate and up to date.
  • Ensure scorecards are completed within 24 hours of all interviews.
  • Report on time to hire, costs per hire, candidate feedback, stakeholder performance, vacancies, closed roles, average salary, total fees and more
  • Format job descriptions, post open roles on multiple job boards, andkeeping postings current.
  • Collaborate with Talent Partners and Hiring Managers to understand role processes and provide scheduling and coordination support.
  • Manage relationships with recruitment agency partners, coordinating role requirements, communicating feedback, and tracking the progress of referred candidates.
  • Collaborate with the People team in relation to new hires, their onboarding logistics.
  • Help identify areas to streamline and improve the recruitment process to ensure efficiency and positive candidate experience.
  • Ensure compliance with all applicable employment laws and best practices in hiring processes.

We’re looking for...

  • Proven experience 2 years + in a Talent Coordination or Talent administrative role.
  • Familiarity with Applicant Tracking Systems (ATS) and recruitment tools.
  • Excellent organisational skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Strong communication skills, with the ability to engage effectively with candidates, internal stakeholders, peers and external agency partners.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and experience with HR software is a plus.
  • A collaborative, proactive attitude with a passion for enhancing candidate experience and supporting hiring processes
