The Role

As a Talent Operations Coordinator at adMarketplace, you'll help ensure our hiring process runs smoothly from opening a role through offer acceptance. You'll partner closely with recruiters, hiring managers, interviewers, and cross-functional teams to deliver an exceptional candidate experience while supporting recruiting operations, reporting, and process improvements.

In addition to supporting day-to-day recruiting, you'll help manage our Challenger and Internship Programs, contributing to the growth of our early-career talent pipeline.

What You'll Do

Recruiting Coordination & Candidate Experience

  • Coordinate video and onsite interviews across candidates, hiring managers, and interview teams.

  • Serve as the primary point of contact for candidates throughout the interview process.

  • Manage interview logistics, including scheduling, travel, onsite support, and candidate communications.

  • Build interview plans, scorecards, coordinate interview panels, and ensure timely interview feedback.

  • Help coordinate offer administration, background checks, reference checks and new hire Jira tickets.

Recruiting Operations

  • Maintain job postings, requisitions, and candidate records within the Applicant Tracking System.

  • Prepare recruiting reports, executive updates, dashboards and hiring metrics.

  • Support recruiting vendors, recruiting technologies, and system administration.

  • Maintain recruiting documentation, templates, and operating procedures.

  • Handle new hire onboarding and orientation.

  • Work with Learning and Development on new hire onboarding plans.

Programs & Process Improvement

  • Co-lead the Challenger (new grad) Program and Internship Program, including recruitment, onboarding, program coordination, and participant experience.

  • Track recruiting metrics and identify opportunities to improve hiring efficiency and candidate experience.

  • Support cross-functional Talent Acquisition projects and process improvements.

  • Partner with People Operations, Finance, Legal, Marketing, and business leaders to support recruiting initiatives.

  • Take on special projects as needed across Talent Acquisition and People Ops.

What You'll Bring
  • 1–3 years of experience in recruiting coordination, recruiting operations, HR, project coordination, or a related field.

  • Exceptional organizational skills with strong attention to detail.

  • High agency with the ability to anticipate hiring needs.

  • Ability to manage multiple priorities in a fast-paced environment.

  • A positive, engaging presence with the ability to represent adMarketplace to candidates in an enthusiastic, authentic, and professional manner.

  • Experience working with an Applicant Tracking System (Teamtailor, Ashby, Greenhouse, Lever, Workday, or similar) is preferred.

  • Comfortable using Google Docs, Google Sheets, Google Slides, AI and reporting tools to organize and analyze information.

  • A proactive mindset with an interest in improving processes and creating operational excellence.

*Compensation: $70,000 - $85,000 + Bonus & Equity

*This range represents the low and high end of the base salary someone in this role may earn as an employee of adMarketplace in the New York office. Salaries will vary based on various factors including but not limited to professional and academic experience; training; associated responsibilities; and other business and organizational needs. The range listed is just one component of our total compensation package for employees. Salary decisions are dependent on the circumstances of each hire.
