As part of our Studio Services team at AKQA, you are committed to ensuring that world-class customer service, delivery and communication is always provided to our clients, guests and employees. You will pay attention to detail regarding our AKQA brand and core values, and ensure that your approach is always consistent and in line with London business strategy and operations.

ROLE REQUIREMENTS

  • Be the go to person for the day to day support of teams across the AKQA Studio
  • Switchboard: ensure all calls are answered within five rings. Maintain the utmost level of confidentiality while remaining professional and helpful. Develop knowledge of both AKQA global and client leadership, enabling calls to be directed appropriately
  • Meet and greet: professional guest greeting and recognising regular guests; greeting new employees
  • Manage all administrative tasks, including but not limited to: security passes, booking couriers, LON studio requests, meeting rooms and travel booking.
  • Keep accurate, up-to-date records of all employees’ telephone numbers (mobile and landline); keep updated list of all other AKQA studios’ receptionists, main contact numbers and addresses
  • Ensure Reception is always tidy and understand the importance of first impressions. Passionate about our high standards and with meticulous attention to detail.
  • Assist with on-boarding and off-boarding teams across the AKQA Studio
  • Handle basic maintenance tasks safely, practically and with strong attention to detail. Organise and oversee any on-site maintenance and minor repairs. Manage contractors on site
    and ensure they comply with all H&S legislation. Report any building issues to our Studio Manager
  • Carry out tasks on our daily checklist at appointed times throughout the day, ensuring that they are performed to a consistently high standard and on time. 
  • To be fully aware of the daily meeting room schedule always and able to plan, prioritise and complete the set-up and clear-down of all meeting rooms on time, to a high standard and with attention to detail as part of our Studio Services team
  • Assist with ordering catering for meetings, events, stationery areas and kitchen.
  • Assist with the organisation and set-up of all internal events and internal moves. 


QUALITIES AND CHARACTERISTICS

  • Build strong relationships with teams across the AKQA Studio, including clients and guests
  • Make a positive contribution to the team and receive positive feedback
  • Constantly strive to improve AKQA service levels, processes and procedures
  • At least 2 years’ experience working in either a service, hospitality or luxury role for a similar dynamic and fast-paced environment
  • ‘Concierge’ level of attention to customer service and client focus
  • Dynamic personality with a strong bias to action
  • Demonstrated ability to set and implement priorities, manage multiple tasks, and work to tight deadlines and high service levels
  • Strong interpersonal skills, including good communication skills
  • Strong problem-solver with high attention to detail
  • Proficient in Microsoft Office, including Outlook with good numerical skills
