Your new role

The Business Integration Coordinator supports the Head of PMO and the wider Programmes team, including the onboarding of projects into business as usual, the management of project impacts to Commercial sales, tracking and reporting and the ongoing assessment of risk factors across a wide range of programme deliverables.

The role requires strong organisational skills and attention to detail to support capex programmes, asset expansion, refresh projects, and operational initiatives across the Global Outdoor estate.

This key role reports to the Head of PMO, with stakeholders including the Global Outdoor executive and the Transformation and Operations Directors.

Key Responsibilities

  • Supporting the maintenance of the project plan, including the target deadlines for bringing assets and projects into beneficial use and business as usual.
  • In collaboration with the projects and Commercial teams, develop and sustain processes for taking assets out of charge and bringing new ones in to charge as capex is planned and deployed.
  • Monitor deliverables and progress towards key milestones with Project Managers.
  • Ensure the relevant parts of the business are engaged and joined up including but not limited to sales, maintenance, finance, partnerships, operations, commercial sales.
  • Ensure systems are up to date and campaigns are not adversely affected by the delivery projects with sales forecasts supported.
  • Prepare and deliver relevant communications which engage the business about the projects being undertaken and those completed.
  • Working with the project teams, support the review, collation, prioritisation and management of relevant risk assessments and registers, tracking impacts and mitigations.
  • Help implement change control processes, accurately assessing impacts to time, cost, and quality
  • Create and manage trackers, registers, and tools to ensure relevant project and asset information is up to date accessible and easy to find.
  • Help produce programme reporting packs for project steercos and operational groups.
  • Work closely with the sales, estates and Partnerships teams to ensure and interface and collaboration with the project delivery function.

What Success Looks Like 

  • A solid understanding of the programmes and projects within the capital and operational delivery plan.
  • Fully understood the deliverables under each project, including key dependencies and interfaces across teams and functions.
  • Build relationships with the Programmes teams and wider stakeholder groups including Commercial
  • Developed key processes, trackers and reports relevant to the integration of projects
  • Developed key processes, registers and reviews of the programme risks.

What You’ll Need

  • Working knowledge of project controls and reporting
  • Working knowledge of risk reviews and risk registers, collating relevant mitigations
  • High attention to detail in producing meeting materials, minutes, and action plans.
  • Collation of trackers and relevant project documentation.
  • Strong communication and relationship management skills with internal and external stakeholders.
  • Comfortable working in a fast-paced setting.
  • Structured, motivated, well-organised, and methodical, with a strong focus on deadlines, detail, and accuracy.

Qualifications and Training

  • Proficiency with MS Project, Excel, Visio and MS Office including power point.
  • Experience of working in project environments
  • Experience of the PMO environment (desirable)
