Do you enjoy keeping complex event activity moving behind the scenes? Are you highly organised, calm under pressure and confident working with speakers, stakeholders and internal teams? Looking for a role where your attention to speaker logistics, contracts and follow-through helps major events run smoothly?

CFA Institute is hiring a Specialist, Speaker Management to support our Global Event Solutions team. In this role, you will help manage the speaker administration that underpins a busy global events portfolio, working across speaker scheduling, contracts, permissions, logistics, internal coordination and stakeholder follow-up.

You will be working with external speakers, internal partners and event stakeholders to make sure speaker activity is well organised, accurate and delivered at pace. This is a highly practical, delivery-focused role suited to someone who enjoys owning the detail, managing multiple moving parts and escalating issues early so events stay on track.

What You'll Do

  • Coordinate speaker management activity across multiple events and projects at the same time.

  • Support speaker scheduling, contracting, permissions, information gathering and event logistics.

  • Work with external speakers, including senior and high-profile contributors, in a professional and responsive way.

  • Partner with internal teams across events, sponsorship, operations, finance, procurement, multimedia, marketing and programme/content stakeholders.

  • Maintain accurate records, reporting and event/speaker-management system updates.

  • Track risks, blockers or missing information and escalate early where input or decisions are needed.

  • Help ensure speaker workflows run smoothly for major CFA Institute events and related stakeholder activity.

What We're Looking For

  • Experience in events, ideally with direct exposure to speaker management, speaker coordination or contributor management.

  • Experience supporting speaker logistics, contracts, permissions, scheduling or comparable event-administration workflows.

  • Comfort managing multiple events, deadlines or workstreams at the same time in a fast-paced environment.

  • Strong organisation, accuracy and follow-through, with the ability to keep control of detail without close supervision.

  • Confident external communication skills, including working with speakers, contributors, vendors or senior stakeholders.

  • Sound judgement on when to resolve issues independently and when to escalate early.

  • Experience using event, speaker, contract, reporting or internal coordination systems would be useful.

  • Finance or professional-services event experience is helpful, but not required.

Why Join Us

  • Play an important role in the delivery of global events for a mission-driven professional body.

  • Work closely with experienced event leaders and internal partners across a changing Global Event Solutions function.

  • Gain exposure to senior external speakers and high-profile event activity across CFA Institute.

  • Own a practical, visible area of event delivery where strong organisation and judgement make a real difference.

  • Join at a point where the team structure has recently evolved, creating a clear opportunity to help stabilise and strengthen ways of working.
