Responsibilities

JOB OVERVIEW

This strategic, high-impact role leads complex venue sourcing projects that deliver cost savings, align with client business objectives, and contribute to overall event success. The individual in this role sources hotels and venues, negotiates contracts, and tracks financial impact, ensuring alignment with client goals and budget requirements. This position collaborates closely with account managers, sales, finance, and meeting planners to ensure a seamless hand-off for execution. Success requires a combination of operational excellence and strategic thinking to drive client satisfaction, high-quality results, and strong financial performance for ALTOUR.


RESPONSIBILITIES

Lead venue sourcing for complex, high-value client meetings and events

  • Act as a strategic advisor, aligning sourcing decisions with client objectives and business goals
  • Own end-to-end sourcing strategy:
    • Use Cvent and other tools to manage RFPs and gather venue proposals
    • Conduct site inspections and negotiate contracts that align with ALTOUR and client interests
    • Oversee venue contracting and ensure smooth hand-off to Meeting Planner for execution
  • Maintains and communicates accurate venue-related budget data to inform client decision-making and financial reporting.
    • Ensure timely and accurate data entry in Cvent and other internal systems
    • Provide financial inputs to support project close-out
  • Collaborate cross-functionally with Sales, Planning, Finance, and Event Technology teams to ensure alignment and seamless program execution

Stay current on sourcing trends and mentor others

  • Participate in supplier education (e.g., fam trips, seminars) to build destination and industry knowledge
  • Stay informed on ALTOUR supplier agreements and sourcing best practices
  • Mentor team members on venue sourcing and negotiations
  • Lead training initiatives to support team development as needed

Contribute to a strong internal team culture

  • Contribute to a positive and collaborative team culture by actively participating in internal meetings and modeling professional engagement.
  • Foster a positive, collaborative team environment
  • Motivate and influence peers to achieve business goals

Serve as a sourcing subject matter expert and informal mentor, leading skill-share sessions and supporting onboarding or upskilling of junior teammates.

Qualifications

REQUIREMENTS


Education and Experience:

  • 7+ years related experience in the meeting and events industry with sourcing focus
  • 3-4 years planning high profile programs, preferably with sourcing focus
  • Bachelor’s Degree or equivalent work experience

Skills and Competencies:

Strategic Project Execution & Sourcing Expertise

  • Deep understanding of meetings and incentive planning with a strong focus on venue sourcing
  • Ability to align sourcing strategy with client business objectives, brand standards, and budget parameters
  • Proven ability to manage multiple, high-complexity projects with competing priorities and deadlines
  • Strong analytical skills and attention to detail to ensure accuracy in budgets, proposals, and reporting
  • Comfortable navigating ambiguity and solving problems under tight timelines

Client Engagement & Interpersonal Skills

  • Skilled at building trust with clients, including senior stakeholders and executive-level contacts
  • Exceptional negotiation and communication skills; able to balance client priorities with business needs
  • Collaborative team player who thrives in a cross-functional environment while also working independently
  • Passion for mentorship and knowledge-sharing to support team development and performance growth

Technical Proficiency

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Microsoft Teams
  • Proficient in Cvent for RFP management, proposal review, and contract negotiations
  • Preferred: Experience using SmartSheet or similar tools for project tracking, reporting, and task management
  • Comfortable working in CRM, budget management, and sourcing intelligence platforms

This role is eligible for a discretionary 5% bonus program based on the company’s financial goal achievement and individual performance.
