As an Senior Administrative Assistant in Community & Consumer Banking, you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.


Job responsibilities

  • Manage complex calendars and coordinate meetings, appointments, and scheduling for three Market Directors, including internal and external stakeholders.
  • Coordinate the logistics for internal/external meetings, quarterly workshops, large meetings, and off-sites (space, agendas, materials, catering, and transportation as needed).
  • Participate in weekly and monthly calls with Market Directors, Branch Managers, and other stakeholders, providing administrative/operational support and tracking follow-ups and action items.
  • Prepare and maintain weekly branch reporting using Microsoft Excel and PowerPoint, ensuring information is accurate, organized, and clearly presented.
  • Track branch-level deliverables and follow up with Branch Managers on deadlines (e.g., monthly audits, compliance training, and other operational requirements).
  • Open and manage job requisitions with hiring managers and Human Resources, and coordinate interview scheduling and candidate communications with Recruiting.
  • Support staff onboarding and off-boarding, including coordinating equipment requests, system access, and related setup steps.
  • Reconcile and process invoices and T&E/business expenses, ensuring items are submitted and approved within required guidelines.
  • Prepare, print/bind, organize, and distribute workbooks, presentations, and other materials for workshops, off-sites, and client/branch meetings.
  • Provide administrative support to Branch Managers across three markets (including HR-related coordination and day-to-day operational needs) and serve as a liaison to Market Directors.
  • Handle inbound calls/messages with appropriate prioritization and discretion, maintain key department documents (org charts, executive bios, etc.), proactively surface risks/issues or delays, and provide backup coverage for other admins as needed.

Required qualifications, capabilities, and skills

  •  At least five years of administrative experience
  •  Advanced ability to organize
  •  Discretion and good judgment in confidential situations, and proven experience interacting with senior management
  •  Strong interpersonal, written, and oral communication skills
  •  Strong proficiency in Microsoft Office
  •  Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management

 

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
