Scheduling and Logistics Coordinator
  • Location: London (Hybrid, 1–2 days per week in office)
  • Employment Type: Full-time 3-4 Month Contract
  • Reporting to: Scheduling and Logistics Manager
  • Day Rate: £200 - £300
Position Summary

Wall Street Prep (WSP) is seeking a highly organised and adaptable Operations Coordinator to join our growing London based team.

As a global provider of financial training, we partner with leading investment banks, private equity firms, corporations, and academic institutions to deliver practical, hands-on training programmes worldwide.

In this role, you will be the operational backbone of our training delivery, keeping day-to-day activities running smoothly across three core areas: building courses with pre-existing course material from the pre-agreed outline using our internal LMS system (Moodle), logistics planning for training events, and broad operational support. You will also provide cover for key responsibilities when team members are on leave, making flexibility and a proactive attitude essential. Reporting directly to the Scheduling & Logistics Manager, this is an excellent opportunity for someone who thrives in a fast-paced, multi-faceted role and takes pride in getting the details right.

Key ResponsibilitiesClassroom Material Building
  • Build courses with pre-existing course material from the pre-agreed outline using our internal LMS system (Moodle)
  • Liaise with instructors and team members to incorporate feedback and updates into course builds
Training Logistics & Event Planning
  • Coordinate end-to-end logistics for training events, both domestically and internationally.
  • Manage flight, hotel and ground transportation bookings for instructors and internal staff travelling to training events.
  • Reconcile travel and event expenses post-completion.
Team Cover & Cross-Functional Support
  • Provide cover for key operational responsibilities when colleagues are on annual leave or absent, ensuring continuity of service.
  • Develop a working knowledge of team members' core tasks to step in effectively across functions such as client coordination, scheduling and reporting.
  • Act as a reliable point of contact for internal and external stakeholders during periods of team absence.
Office Management Support
  • Help coordinate internal meetings, team events and any ad hoc office-based requirements.
Qualifications & Experience
  • 1+ years' experience in an operations, events coordination, or administrative role, ideally within a professional services, education or financial services environment.
  • Proven experience coordinating travel and logistics, including flight and hotel bookings.
  • Strong written communication skills 
  • Excellent organisational skills with the ability to manage multiple priorities simultaneously.
  • A proactive, can-do attitude with strong attention to detail.
  • Comfortable working independently and stepping into new responsibilities at short notice.
Desirable Experience
  • Experience supporting a customer-facing or client delivery team.
