Robotic Process Automation (RPA) Business Analyst

What does a successful RPA Business Analyst do?

As an RPA Business Analyst, you will identify and qualify automation opportunities, capture and translate business needs into clear requirements, and partner with business, RPA developers and internal teams to deliver measurable value. 

What you will do:

  • Identify, assess and prioritize automation opportunities using process discovery techniques (workshops, interviews, observation, data analysis).

  • Document current-state (“as-is”) processes, including volumes, cycle times, exception rates, controls, systems and handoffs.

  • Define future-state (“to-be”) processes and create clear automation requirements aligned to business outcomes, controls and compliance needs.

  • Produce high-quality delivery artifacts such as PDDs, user stories and acceptance criteria, process maps, business rules, data dictionaries and test scenarios.

  • Partner with RPA developers and solution architects to translate requirements into automation design inputs (application steps, decision logic, exception handling, logging, credential needs and audit requirements).

  • Support backlog management by estimating benefits (ROI/cost takeout), complexity, delivery effort, and operational risk to inform prioritization.

  • Facilitate UAT planning and execution: define test cases, coordinate testers, triage defects, validate fixes, and confirm readiness for release.

  • Work with operations and support teams to ensure handover readiness, including runbooks, exception procedures, control evidence and monitoring expectations.

  • Drive stakeholder alignment through regular communication, demos, decision logs, and change impact discussions.

  • Contribute to governance and CoE practices by improving templates, standards and repeatable ways of working.

What you will need to have:

  • Demonstrated experience as a Business Analyst (or equivalent) delivering process improvement and/or automation initiatives in a complex enterprise environment.

  • Strong process analysis and documentation skills (process mapping, business rules, exception paths, controls).

  • Experience eliciting requirements and translating them into user stories, acceptance criteria, and test scenarios.

  • Working knowledge of RPA concepts (attended vs. unattended automation, orchestration, queues, retries, exception handling, bot credentials, audit/logging).

  • Ability to work effectively with cross-functional teams (business SMEs, developers, QA, information security, risk/compliance, production support).

  • Strong communication and facilitation skills, including workshop leadership and stakeholder management.

What would be great to have:

  • Experience with enterprise RPA platforms such as UiPath, Automation Anywhere, Blue Prism, or Microsoft Power Automate (hands-on familiarity; not necessarily development).

  • Exposure to process mining/task mining or discovery tools.

  • Understanding of APIs, data flows and integrations (REST/SOAP concepts), and comfort partnering with technical teams on solution approach.

  • Familiarity with Agile delivery (Scrum/Kanban), Jira/Azure DevOps, and backlog management practices.

  • Experience supporting production automations, including SLAs, incident triage, root cause analysis, and continuous improvement.

  • Relevant certifications (e.g., UiPath Business Analyst).
