Coordinate and support Cabin Server training and hospitality training logistics worldwide. Maintain training records, schedule new hire and recurrent sessions, liaise with training providers, reconcile training invoices, prepare training facilities and supplies, assist with travel and documentation, and support Cabin Server leadership and trainers as needed.
POSITION SUMMARY
The Red Label Training Academy Coordinator will be responsible for the support, coordinating, and communication of Cabin Server training (and where required hospitality training). Additionally, this role will also participate in training Cabin Servers if and when needed. This role requires working closely with Cabin Server leaders, Cabin Server Trainers, Cabin Server team, and Operations.
DUTIES & RESPONSIBILITIES
- Support in training responsibilities with Cabin Servers on the Flexjet service and In-Flight Choreography as needed.
- Maintain an updated and accurate record-keeping system (electronic and physical file management) regarding all Cabin Server training and qualifications information in accordance with Company procedures.
- Monitor and control all Cabin Server training and qualification requirements.
- Maintain and control records required for company vendor training organizations, instructors.
- Liaise with the training providers to request required records and supporting documentation to show training compliance of the Cabin Servers.
- Provide monthly and operational reports when requested by department managers
- Scheduling new hire Cabin Server and recurrent training events for global Cabin Server team.
- Identify forecast training needs and assignment of training events.
- Ensures the training spreadsheet is kept up to date for logistics and billing needs.
- Reconciles training invoices to training events and approves invoices for accounts payable.
- Communicates training activities to the Cabin Servers, Cabin Server Trainer(s), training provider (if required), and Cabin Server leadership team.
- Ensure Training Academy has required supplies, resources, and is prepared for each training session as required.
- Prepare for each training event (both initial and recurrent training for worldwide team) alongside the Training team and Training Specialist which includes training documentation, supplies, room set up, etc.
- Assist Cabin Server leadership, training team, and Human Resources in ensuring Cabin Servers are prepared for their first day training; including ensuring all travel requirements and documentation have been completed, reviewing required visas and passports, and logistical confirmations.
- Maintain an updated and accurate record-keeping system (electronic management) regarding all Academy training travel logistics in accordance with Company procedures.
- Monitor and communicate to leadership team of any absences or needed support while traveling.
- Assist with unform and Cabin Server required in-flight items.
EDUCATION & EXPERIENCE
- Working knowledge of Corporate or commercial aviation, preferably as a Corporate Flight Attendant
- Previous training coordination and administration experience desired.
- Previous training experience desired, preferably in a corporate jet environment.
REQUIRED SKILLS & QUALIFICATIONS
- Must possess the legal ability to work in the United Kingdom
- Familiarity with core job competencies including, but not limited to SOPs, Cabin Server training documents, and other resource documents.
- Able to work in a fast-paced, team-oriented environment
- Strong communication (verbal and written) skills with the ability to self-motivate, handle multiple tasks, meet established targets
- Proficiency with Microsoft Office Suite Applications (Excel, Word, Outlook)
- Must be results oriented and able to obtain a high level of familiarity quickly
- Strong personal and work ethics along with a high level of integrity
- Must have the ability to work quickly, calmly, and under pressure.
PHYSICAL REQUIREMENTS
- Physical demands may require a considerable amount of time sitting and typing/keyboarding using a computer (i.e., keyboard, mouse, and monitor) along with various office equipment
- Physical demands may include walking, carrying, reaching, standing, and stooping
- May require occasional lifting/lowering, pushing, or pulling up to 12 kg
