About the Job

We are seeking a Recruiting Coordinator to support OpenTable on an 18-month contract basis. In this role, you will work collaboratively with a team of coordinators to support recruiters and serve as the primary point of contact for candidates and employees worldwide. You will play a vital role in ensuring a seamless and positive experience throughout the hiring process, managing complex interview schedules across multiple time zones. By maintaining accurate records and optimizing talent acquisition processes, you will directly impact the organization's ability to attract and onboard top talent efficiently. Your organizational skills and dedication to service will foster an engaging environment for both new hires and internal teams.


Responsibilities

  • Coordinate and schedule complex phone, video, and in-person interviews across multiple global time zones, ensuring comprehensive preparation for both candidates and hiring panels.

  • Manage the end-to-end candidate experience, including arranging travel, responding to inquiries, and providing thoughtful solutions to scheduling challenges.

  • Facilitate the global offer and onboarding processes by creating accurate offer letters, updating template databases, and initiating region-specific background checks in compliance with local regulations.

  • Maintain accurate candidate and employee records using applicant tracking and human resources information systems to support data integrity and reporting needs.

  • Serve as a dedicated resource for new hires and hiring managers, guiding them through onboarding to ensure a smooth transition into the organization.

  • Drive continuous improvement in talent acquisition operations by auditing compliance requirements, managing contract procurement, and participating in process optimization initiatives.


Minimum Qualifications

  • 1+ years of prior experience working as a Recruiting Coordinator or in a similar administrative support role.

  • Proven ability to effectively prioritize multiple tasks and manage complex logistics with a high degree of organization and attention to detail.

  • Excellent verbal and written communication skills, with the ability to interact professionally with individuals at all levels of the organization.

  • Demonstrated capability to handle sensitive information with strict confidentiality and discretion.

  • Proficiency in using standard office productivity tools (such as word processing, spreadsheets, and email platforms) to support daily administrative functions.


Preferred Qualifications

  • Hands-on experience using applicant tracking systems (e.g., Greenhouse) to manage candidate pipelines, records, schedule interviews, and create employment contracts.

  • Working knowledge of human resources information systems (e.g., Workday) for data management and reporting.

  • Experience managing inquiries and support requests using data management or ticketing systems (e.g., Zendesk).

  • Familiarity with global hiring practices, local employment compliance, and background check protocols.

  • A proactive approach to identifying operational inefficiencies and participating in process improvement initiatives.
