The Freshfields Global Centre provides both business and legal services to the firm. Function Overview
The Facilities Department role is to secure, maintain and support our colleagues and the office environment in such a way that we are all proud to work within the space.

We will do this by carrying out our individual roles within the department to the best of our ability. By being observant and communicating with our colleagues and our team we will look to innovate, improve or create efficiencies. Investing in technology or resources to support the office and team to be the best it can be.


Key responsibilities and deliverables

  • Act as the face of the business, answering the phones and greeting clients/guests/visitors in a positive, professional, courteous and friendly manner.
  • Liaise with wider Facilities department to ensure adequate set up/ turn-around of meetings.
  • Proactively support the preparation of presentations in meeting rooms, set-up AV equipment and connect Video Conference calls; liaising with relevant parties as required.
  • Assist with event coordination, organisation and communication. Ensuring that the event spaces are prepared and cleared in a timely manner at all times.
  • Audit meeting rooms on the client floor (7th) along with the operational floors (5th – 6th) via internal checklist, along with the reception area (including contemplation and medical rooms) on a regular basis to ensure rooms are clean, tidy and equipment is working correctly.
  • Liaise with our on-site catering team and cleaners to ensure that the highest standards of cleanliness & timeliness are maintained.
  • Data input for company systems, preparation and submission of reception reports including statistics.
  • Supply visitor/Contractor security access passes and ensuring efficient registration process for all visitors.
  • Overall support to the wider Facilities Department as required.

Key Requirements

  • Ability to communicate at all levels within the organisation – providing support/information/handovers/confirmation of arrangements to direct team, wider facilities department, Manchester & global colleagues and fee earners'.
  • Experience in a similarly structured organisation, within a Facilities team, is highly beneficial
  • Excellent organisation, communication and writing skills, with an enthusiasm for the role.
  • Intelligent use of initiative, with common sense and decision-making skills.
