Chatham Financial Europe’s Receptionist is an integral member of the People Team providing in-person support to our London team, and providing a warm welcome to our clients, and visitors. In this role, you will be the first point of contact and will be responsible for providing a world class service and experience. You should endeavor to be knowledgeable about our office and Chatham to be able to address questions and readily available to provide assistance throughout the day. We are seeking a personable, well organised individual with a can-do attitude with the ability to work well under pressure and manage competing priorities. As part of a global organization, working closely with our other global office locations to provide support, it is essential that you are a good team player.

This role will be based in our London office, in Broadwick Street.  

In this role you will:

  • Work alongside the team to ensure that the front desk is effectively managed throughout the core working hours of the day.
  • Act as a first point of contact and ambassador, providing a welcoming experience for employees, clients, and all other visitors.
  • Ensure all amenities and refreshments are available to all employees and guests.
  • Partner with the facilities team to ensure meeting rooms and common areas are presentable and maintained to a high standard.
  • Be primarily responsible for the issuance and return/cancellation of key fobs, main access keys, locker keys for employees and visitors.
  • Effectively manage stock of stationary, supplies and consumables.
  • Answer and field incoming phone calls to the main line, taking messages, directing callers to the relevant team members in a timely manner.
  • Manage inbound post and directing to appropriate recipients
  • Work with the travel team to provide support with inter-office travel bookings and arrangements for London team members and visitors from our global offices
  • Assist the Office Manager with special projects and company events throughout the year.
  • Support other administrative responsibilities as needed

Contributors to your success:

  • Previous years’ experience in a reception role, customer service, office coordination or similar role is desirable
  • Good knowledge and experience with MS office including Excel, Outlook, Powerpoint, and Word
  • Patient with a high level of professionalism in the exercise of all their duties
  • Well-developed interpersonal, verbal and written communication skills
  • A self-starter with the ability to work under pressure and in a fast-paced environment.
  • Excellent organisation and time management skills with the ability to prioritise and multitask
  • Strong attention to detail and accuracy
  • Ability to think on your feet
  • Working knowledge of office equipment
