Working Conditions:
- This is an initial 12 month contract based in Central London, The Strand
- Working hours are 9:30 – 17:30, Monday to Thursday only
- Occasional weekend work and longer hours may be required depending on office activities
- The successful candidate will be required to be a First Aider and Fire Warden for the office. Necessary training and compensation will be provided.
What You'll Do:
- Reception – managing incoming calls, gatekeeping where required, and communicating with group offices both locally and globally.
- Guests - Greet all visitors warmly and offer refreshments upon arrival.
- Office – Working with the Facilities Manager in always keeping the office tidy. Making daily maintenance checks of the office facilities e.g. flowers, seating areas, kitchen, WC & meeting rooms to ensure high level upkeep. Assisting with ad hoc projects and liaising with the Building Manager on any building related matters.
- Office - Identify and suggest improvements to enhance the office environment and overall employee experience.
- Visitors – providing visitor information sheets, arranging travel if required and keeping the office informed of visiting staff.
- Meetings – managing all meeting room bookings and ensuring pre-meeting setup (e.g. refreshment provision and audio & visual requirements) and post-meeting clear up.
- Meetings - Take ownership of WME’s (all BU’s) meetings such as WMEF all-hands & roll-out via circulating meeting information and setting up the room accordingly and on-time. [Open rooms & connect via the conferencing tech].
- Ordering – managing all stationery, cleaning and kitchen supplies following internal procedures for each division.
- Ordering - Identify cost-saving opportunities and recommend more efficient suppliers or products.
- Events - Take initiative in brainstorming and organising creative themes or activities for events
- Events – supporting the Office Assistants with preparations and logistics for internal and external staff events.
- Security – liaising with the Facilities team and building management regarding staff passes to ensure the office is secure at all times
- Security - Conduct regular checks to ensure that all security protocols are being followed, including verifying that only authorised personnel are accessing restricted areas.
- Communication – updating the Facilities Manager regularly, along with information emails provided to the London office when required
- Deliveries – track & manage receipt and safe keeping
- Development - Identify training needs for yourself and the front-of-house team, suggesting relevant professional development opportunities.
You Have These:
- Previous experience in the fashion industry is desirable but not essential, Sensitivity to the needs of creative clients
- Understand the importance of excellent client service
- Confidence working with MS Office
- Exceptional organisation and time management skills
- Strong communication skills, both written and verbal
- Initiative-taking, problem-solving attitude
- Ability to thrive in a fast-paced, high-energy business environment
- Good level of numeracy
