Receptionist

Salary: £26,648.23 per annum plus company benefits

Location: Bristol, BS2 0PS

Contract: Permanent, Full Time

Shifts: 37.5 hours per week, Monday to Friday on rotational shifts rotational shifts between 08:00 - 17:30, with 1 hour unpaid lunch break.

Purpose of role

The Receptionist is the first point of contact for visitors calling or visiting our client’s office and is a brand ambassador. This role involves welcoming clients and visitors to the office, being approachable, and create a positive first impression. Duties will also include handling switchboard calls, organising and offering administrative support to the firm. The role will also involve providing and the setting up of hospitality in the client suite for client meetings and events. Every task which is undertaken must be delivered with an exceptional customer service approach.

It's key you will have the ability to easily build rapport with people, deal with urgent tasks in a timely and effective manner, and the ability to multitask is important for this position. This is a hands-on role and will involve working alongside team members to deliver the overall service.

Key responsibilities

  • Provide a high quality of service to staff and guests as a Williams Lea service provider, exceeding their expectations and delivering an appropriate outcome to all queries
  • Welcome visitors with a high standard of customer service, signing in guests and issuing access cards with prior authorisation
  • Delivering a high quality standard of corporate service including arranging client meetings and events
  • Managing onsite car parking for clients and visitors
  • Dealing with booking taxi's for business use for staff and visitors.
  • Liaising with IT to provide equipment support for meeting room setups
  • Providing & setting up of hospitality in the client suite & ensure a smooth running of daily requests, showing flexibility and willingness to support colleagues and take on additional duties if required. Duties will include the ordering of catering for required times, setting up food/drinks/ crockery/ glassware for client meetings/events, clearing and cleaning of equipment after use.
  • Liaising with the Office Services team for training materials and printing needs for seminars to ensure a prompt start for training events.
  • Dealing with administration tasks
  • Dealing with telephone and email enquiries in a timely manner.

Personal Attributes

  • Minimum of two-year receptionist, switchboard or administrative assistant experience required preferably in a banking, legal or large corporate environment.
  • Exceptional customer service skills to effectively great and communicate with callers and visitors.
  • Ability and willingness to learn in-depth knowledge of the company (the business and employees) to more efficiently handle calls and great visitors.
  • Ability to work in a fast-paced team environment.
  • Ability to effectively and professional communication with co-workers and clients.
  • Attention to detail with an emphasis on accuracy and quality.
  • Intermediate computer skills including Microsoft Word and Excel
  • Ability to prioritize work to balance multiple projects and deadlines.
  • Excellent verbal and written communication skills.
  • Self-motivated and the ability to multi-task
