As our first line staff member, you will welcome and engage with visitors, vendors and staff arriving at our London office, operating our Reception and supporting with the smooth running of our office.
Your Responsibilities:
- Welcome and coordinate all visitors to our London office.
- Coordinate incoming telephone calls and take messages.
- Act as the first point of contact for facility vendors / building vendors / office staff.
- Assist office management with admin tasks (MS Office tasks, printing, copying, scanning, mail duties and general office supportive tasks)
- Support the ordering, replenishment and cost analysis process for office consumables, including all stationery, and F&B products.
- Support the office lunch operation by liaising with the lunch supplier and overseeing the menu. Creating lunch accounts for new starters and help with onboarding.
- Mail processing including courier arrangements.
- Co-ordination/organisation of key areas with our support teams (organizing kitchens – beverages/ consumables, keeping meeting room/reception neat and orderly, etc.)
- Coordination of office requests/tickets via the office facilities team.
- Support the smooth running and operation of a busy office environment.
- Supporting adhoc office facilities requests and office projects
- Supporting with facilities reporting
- Point of contact for internal meeting room bookings, including the management of the room. .
- Support Hospitality tasks at the office – including events and meeting room F&B requirements.
- Supporting Facilities and HR with Events Management planning and execution. the
- Support Satellite offices with admin and ordering tasks.
- Support travel and accommodation tasks for visiting colleagues.
- Support Facilities team with key onsite vendors.
Your Experience and Qualifications:
- Professional and dynamic with strong people skills.
- Strong organizational skills, with the ability to prioritize effectively and multi-task.
- Team player as well as able to work independently.
- Proactive with a “can do attitude”.
- Experience in project administration.
- Proficient user of MS Office (strong excel skills) and able to support a busy office operation.
- Fluent in English written and verbal.
