Our vision is to make work accessible and people’s lives better. We do this by disrupting traditional employment barriers – connecting ambitious talent to flexible opportunities with trusted brands.

Job Description

Anticipated Contract End Date/Length: Initial 3-month contract, with potential extension.

Anticipated Hours per Week: 16 hours

Work Set Up: Remote. Occasional on-site support at London events may be requested on an ad hoc basis but is not likely and not a core part of the role.

Our client in the global professional services industry is seeking an organised, proactive and detail-oriented Programme Coordinator, Salesforce & Events to provide dedicated administrative and audience management support for a flagship client programme for board-level executives.

You will take ownership of much of the day-to-day administration that underpins the programme. You’ll make sure participants and internal stakeholders receive a responsive and professional service, audience data is accurate and up to date, and event administration runs smoothly.

This is predominantly an administrative role, focused on programme, audience and Salesforce administration. You will need to become comfortable working independently within established processes, managing a busy shared inbox and handling a wide variety of requests. Strong Salesforce experience would be particularly valuable.

Responsibilities

Inbox and query management

  • Take day-to-day ownership of the shared programme inbox, making sure queries are picked up and responded to promptly.
  • Manage enquiries from programme participants and other external contacts, including requests for event information, joining details, Teams links and other practical queries.
  • Respond to internal colleagues and relationship teams asking whether clients are already part of the programme, and explain the process for adding new participants.
  • Direct more complex queries to the appropriate member of the programme team while keeping ownership of follow-up and resolution.
  • Use agreed guidance, standard responses and processes to provide a consistent experience.
  • Identify recurring queries or issues and help develop FAQs, templates or process improvements that reduce future administration.

Audience and Salesforce management

  • Maintain accurate programme records within Salesforce.
  • Check whether individuals are already included in the programme and respond to internal requests accordingly.
  • Create new contacts and support the process for adding appropriate individuals to the programme.
  • Update contact information and marketing consent records where required.
  • Maintain programme and campaign information so that records remain accurate and usable.
  • Support audience reviews, including reviewing existing campaign records and identifying contacts that need further action or data updates.
  • Help improve the quality and consistency of audience data and identify opportunities to make current processes more efficient.

Pre-event administration

  • Produce and maintain accurate attendee lists for individual events, adding organisation and role information where required.
  • Keep attendee lists current as registrations and cancellations are received, and circulate updated lists to the relevant internal teams ahead of events.
  • Support practical pre-event administration and respond to participant queries in the run-up to events.
  • Liaise with internal teams and suppliers on straightforward event logistics where required.

Post-event administration

  • Update Salesforce campaigns and attendee statuses promptly after events, so that established post-event communications and journeys are triggered appropriately.
  • Collate and share relevant participant feedback with the programme team.
  • Complete outstanding audience and data administration arising from individual events.
  • Support follow-up queries from participants and internal stakeholders.

Qualifications

  • Strong administrative and organisational skills, with excellent attention to detail.
  • Comfortable managing a shared inbox and responding professionally to both internal and external stakeholders.
  • Confident working with databases, CRM systems and large volumes of audience information.
  • Able to manage multiple requests and priorities independently and follow tasks through to completion.
  • Strong written communication skills and confidence dealing with senior stakeholders and clients.
  • Proactive approach, with the ability to spot issues and resolve straightforward queries without requiring constant direction.
  • Previous experience using Salesforce, particularly managing contacts, marketing preferences and campaigns.

Nice to have:

  • Experience in audience management, CRM, marketing operations or programme administration.
  • Experience supporting senior-level client programmes or events.
  • Experience maintaining attendee or stakeholder data and working with automated communications.
  • An interest in improving administrative processes rather than simply maintaining them.
