We are recruiting for a Secretary to be based at our Swindon, London, or Glasgow office. This is a demanding and varied role supporting 3 Directors within the Chief Operating Office. If you have experience working within a similar role that will be beneficial, but it’s more important to be highly organised and able to work well under pressure, with attention to detail, and understand the responsibility of handling confidential information. You will also be part of a high performing team of Secretaries and therefore be able to build trusted relationships with your peers.

 

This role would suit a calm, motivated, disciplined and mature individual with confidence and a proactive nature who is particularly adept at prioritisation and communication.

This is a 12-month fixed term contract opportunity.

For this job you'll spend at least two days per week, or if part time you'll spend 40% of your working time, based at either our Swindon, London or Glasgow office. If you’re based at our Glasgow office, this will apply from 1 April 2027 and ahead of that there will be a need to regularly connect with colleagues for collaboration events. If your application is successful, your hiring manager will provide further details on how this works. Responsibilities

What you’ll be doing

 

In this role, you will provide proactive, high-quality support to the Directors, taking ownership of complex diary management, meeting coordination, travel planning and forward scheduling, while reprioritising activity as needed. You will also support communications, events and logistics, including room and venue bookings, and respond effectively to ad hoc requests. The role includes helping to onboard new members of the Directors’ leadership teams, managing monthly expenses, invoices and HR administration, maintaining accurate organisational materials and Teams sites, and ensuring information flows to and from the Directors in a timely and accurate way. You will also review and format materials for internal and external meetings and communications, delivering a professional, flexible and discreet service with consistently high standards.

  • Be calm, logical and objective under pressure.
