Tokio Marine Kiln (TMK) is recruiting for a Personal Assistant to join our Executive PA Support team on a 6-month fixed-term contract. Supporting the Chief Risk Officer's direct reports and their associated teams, you will provide high-quality secretarial and administrative support in a fast-paced environment, ensuring the smooth and efficient running of day-to-day activities.

 

Key responsibilities include:

 

• Organising extensive travel arrangements, including flights, hotel bookings and itineraries.
• Co-ordinating the preparation of committee papers and ensuring deadlines are met.
• Maintaining accurate records of holiday, sickness and general absences.
• Arranging meetings, managing diaries and collating relevant documentation.
• Handling internal and external calls and enquiries professionally and efficiently.
• Processing and recording expenses accurately and in a timely manner.
• Providing cover for the absence of other EAs and PAs within the team.
• Using initiative to proactively identify issues and implement solutions.
• Managing schedules and organising meetings, including arranging venues and catering where required.
• Ensuring information is disseminated effectively to relevant stakeholders.

 

What we're looking for:

 

• Previous Personal Assistant experience.
• Experience within the insurance or financial services sector is desirable.
• Strong knowledge of Microsoft Office applications, including Word, Excel, Outlook and PowerPoint.
• Experience managing multiple diaries and competing priorities.
• A typing speed of 65 words per minute or above.
• Excellent written and verbal communication skills.
• Strong organisational skills with excellent attention to detail.
• A proactive approach with the ability to use initiative and identify practical solutions.
• The ability to handle highly sensitive and confidential information with discretion and professionalism.
