About the role
As part of the People team, this role provides administrative support for structured and repeatable activities that benefit from consistency and coordination across People Services.

The role supports key operational processes including benefits administration, recognition programmes and employee lifecycle gifting, helping to ensure a consistent and positive employee experience. It also contributes to the smooth running of People Services through support in areas such as purchase order management, IR35 administration and documentation management. Alongside day-to-day operations, the role also supports continuous improvement of People processes, helping to drive our strategy forward and deliver a MAGICAL experience for our Charlotte Tilbury Family! 

Reporting to the People Services Manager, the role works closely with the People Services team, as well as the People Governance & Projects Manager and Reward, to ensure processes, materials and communications are accurate and up to date.

As a People Services Assistant you will

  • Provide administrative support for benefits processes, working in coordination with Reward and People Services
  • Coordinate recognition programmes (e.g. Tilbury Pots, Long Service Awards), ensuring timely and accurate delivery
  • Manage employee lifecycle gifting processes, including onboarding and life events
  • Support the administration of airport passes for Travel Retail employees, including coordinating documentation, tracking requests and ensuring timely processing in line with operational requirements
  • Support IR35 administration, including documentation collation and tracking in line with established processes
  • Manage purchase orders and support spend tracking across People Services, ensuring accuracy and visibility
  • Maintain trackers and records to support consistent and organised delivery of People Services activities
  • Support the preparation and updating of People Services materials, communications and documentation to ensure they remain accurate and up to date
  • Assist with employee data collation and reporting where required (e.g. for benefits renewals or audits)
  • Provide support for People Services activities, projects and cyclical processes as required
  • Work collaboratively with the wider People team to ensure smooth coordination of activities and a consistent and MAGICAL employee experience

About you

  • Strong attention to detail with the ability to manage and organise administrative processes accurately
  • Demonstrates integrity and professionalism when handling sensitive information
  • Well organised, with the ability to manage multiple tasks and meet deadlines
  • Strong communication skills and ability to work collaboratively with different teams
  • Proactive and reliable, with a willingness to support team priorities as needed
  • Comfortable working with systems and data, with good knowledge of MS Office
  • Experience in an administrative or HR support role (desirable)
  • Passion for all things beauty and an avid follower of social media, trends and industry news.
