Job Description

The Operations Coordinator is the key administrative and team support for the Site Integration team. They will also provide administrative support for Projects, Product Business, and New Sales.

Will be responsible for the creation of Quotes and/or Orders in the SAP system for Site Integration and Product Business. Liaising with customer when applicable. They will also support the Projects and New Sales process through the sales negotiation and order placement process.

Will be a SAP Key User for the UK, and therefore responsible for the local coordination and assurance of business partner master data quality, and report to Global Master Data Management team.

Maintain high data quality in SAP system for Site Integration, Projects and New Sales. In addition, they will monitor data quality across the region and provide support and guidance to other users.

Is a key person for the information exchange of Site Integration to the Finance team for invoicing and reporting. Host weekly meetings with relevant stakeholders on the status of open orders and attend monthly WIP meetings.

This is a developing role, and other duties may be required in time.

Site Integration

  • Planning and coordination of resource allocation for the Site Integration team, including arranging hotels and travel ensuring relevant site requirements are met, and alignment with the customer when applicable
  • Responsible for forecast reporting based on team utilisation and customer requirements
  • Supporting the interfacing with customers in relation to the site planned activities (Project dates, RAMS, reporting) when applicable
  • Maintain the competency matrix for the Site Integration team in alignment with the Field Service team. Providing gap analysis and planning/ensuring training is booked and access passes are valid
  • Updating tooling registers for both team and individually owned equipment
  • Generate quotations for ad hoc servicing activities for the department as needed, and managing customer interface to the point of order
  • Creating intercompany order generation where appreciable
  • Also providing general support for Field Service in the absence of the Customer Support (CS) Coordinator for scheduling activities
  • Manage invoicing instruction to Finance team for Site Integration ad hoc services
  • Aligning with Finance on a quarterly basis on the close out of projects and intercompany orders in the SAP system

Projects, Product Business, and New Sales

  • Attend Sales to Project handover meetings. Provides support with the creation of the Project SharePoint portal structure, and financial tracking template
  • Generate quotations/orders for the departments as needed, as well as active maintenance of these in light of project change values or change orders
  • Creating intercompany order generation where appreciable
  • Responsible for the generation of GPNs for Projects and New Sales and providing support for the Field Service Coordinator when applicable

Key User

  • Be part of the UK SAP Key User team. Responsible for the generation of and maintenance of master data quality, including but not limited to: Installed Base, Registered Products, and Business Partners
  • Represent the UK at quarterly review meetings with the Global SAP Key Users, managing the communication flow with UK Key user team to the wider UK business
  • Ensure data quality in the generation of quotes and orders in the SAP system and be able to produce forecast reporting

Qualifications

  •  A-Levels (or equivalent)
  • Minimum 3 years working in a team coordinating activities
  • Customer interfacing experience
  • Data maintenance experience
  • Experience with SAP or other ERP system preferable
  • IT Capability in Microsoft platforms
  • Excellent workload and time management skills
  • Ability to manage situations that require immediate response
  • High level of data accuracy
  • Understanding of financial process flow
  • Good communication skills required at all levels of the business and also externally to customers and suppliers
  • Diligent when it comes to following up on tasks and ensuring work flows are completed
