Office Services Assistant

Salary: £26,612 per annum, plus company benefits

Location: London, EC4M 7AW

Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, rotational shifts of 8am until 4:30pm and 10am until 6:30pm with 1 hours unpaid lunch break

Work model: Fully onsite

Williams Lea seeks an Office Services Assistant to join our team!

Purpose of role 

The role of Office Services Assistant is to ensure work is carried out to the highest standard and produced correctly within the agreed deadline and to give excellent customer service to all our customers. You will maintain a proactive relationship with our customers ensuring queries and issues are dealt with in a timely and professional manner, whilst keeping your line manager always informed with regards to any operational or Health & Safety issues.

  

Key responsibilities 

  • Ensure all deadlines are met and renegotiate those that are unachievable in a proactive fashion by liaising directly with the client.
  • To deal with any issues raised by escalating these to your line manager as and when required
  • To ensure that all logs, forms and work related administration are completed in an appropriate manner
  • Work tidy and safe at all times ensuring stock is stored in the appropriate storage areas
  • To escalate any potential operational or Health & Safety issues to your line manager.
  • Appraisals to be completed and returned in accordance with the instructions as given by your line manager
  • Health & Safety issues to be raised to a member of the management team or your representative in a prompt fashion
  • To promote the core aims and values of Williams Lea on site
  • Dealing with customer requests (Email, phone, in person & overseas)
  • Checking stock levels of paper, reprographic supplies, stationery cupboards & general supplies
  • Ordering stock, ad-hoc requests, printed matter, reprographic supplies, etc.
  • Delivering Ad-hoc requests
  • Filling stationery cupboards
  • Delivering files and dividers
  • Compiling information for the Managers Monthly Report (MMR)
  • Processing inbound/outbound mail
  • Checking the in/out trays
  • Collecting/delivering twice delay runs to HQ
  • To produce high quality documents to client specifications using high speed reprographic and finishing equipment
  • Always follow Group and company policies and procedures.
  • Report all incidents, accidents & near misses
  • Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment
  • Promote Health & Safety and safe working practices.

Personal attributes

  • Previous experience in a customer experience/admin role
  • Excellent Customer Focus
  • Mail & Stationery experience desirable
  • Excellent Computer skills (Microsoft Package)
  • Drive for results
  • Effective communication - Listening & Written
  • Planning & organising - Managing and measuring work
  • An understanding of an employer’s statutory and 'best practice’ Health & Safety requirement
