About the RoleWe’re looking for an Office Manager to run our London office and create an environment where our team can do their best work. You’ll own the day-to-day operations of the office — ensuring the space runs smoothly, supporting employees and visitors, and helping shape a workplace that reflects Reflection’s culture.
Our London office opened in 2025 and is growing quickly. We’re moving into a new ~8,000 sq ft office in King’s Cross, and this role will play a key part in making that space operational, organized, and welcoming. This is a hands-on role for someone who thrives in fast-moving environments and enjoys building systems that keep things running smoothly.
What You’ll DoOffice Operations
Own day-to-day office operations including facilities, supplies, meeting rooms, and vendor management.
Serve as the primary point of contact for building management, maintenance providers, and other external vendors.
Ensure the office environment is clean, organized, and fully functional for employees and guests.
Coordinate repairs, services, and improvements to keep the workspace running smoothly.
Employee Experience & Onboarding
Partner with People Ops and IT to support seamless onboarding for new hires.
Ensure desks, equipment, and access are set up before employees’ first day.
Help create a welcoming and supportive office environment for the team.
Events & Office Programs
Coordinate in-office catering, lunches, and day-to-day hospitality.
Help organize team events, socials, and office gatherings.
Support logistics for company offsites and visits from colleagues in other offices.
Compliance & Safety
Maintain office health and safety practices and required compliance documentation.
Coordinate inspections, policies, and workplace safety procedures as needed.
3–5+ years of experience in office management, workplace experience, or operations — ideally in a startup or high-growth environment.
Strong organizational and operational skills; able to manage multiple priorities simultaneously.
Experience managing vendors, facilities, and office budgets.
Excellent communication and interpersonal skills; comfortable working across teams.
High ownership and a proactive mindset — you take initiative and solve problems quickly.
Detail-oriented and reliable, with the ability to keep operations running smoothly.
