The Role
The Office Manager is a crucial mid-level position responsible for ensuring an engaging, safe, and efficient workplace experience for all employees and visitors. This role plays a key part in running, managing and optimising the office environment, overseeing facilities, space planning, and ensuring compliance with relevant health and safety standards.
You will be the first point of contact for an issue, working closely with various stakeholders, including the People Team and external contractors, to maintain high standards of compliance, functionality, and operations across all MVF offices, both in the UK and internationally.

Responsibilities:
Be the face of MVF as our front of house and primary point of contact for all visitors, ensuring a warm and professional welcome.
  • Ensure all reception and common areas are inviting, inclusive, and reflective of MVF's culture.
  • Facilitate as our front of house, ensuring a welcoming and supportive environment for our people and external partners.
  • Enabling internal engagement events, such as social events and organising clubs and All MVF events.
  • Assist with planning and facilitating workspace design projects, gathering feedback, and implementing improvements across all office spaces to increase engagement.
  • Direct, coordinate, and plan essential services such as mail, document archiving, and cleaning, ensuring smooth and efficient operations across all sites.
  • Meet Environment, Health, and Safety (EHS) requirements, ensuring compliance with relevant ESG legislation, audits and creating a safe environment for employees, contractors, and visitors.
  • Accountable for ensuring compliance for fire safety and health practices are in operation, including annual training, proposing risk assessments, and the execution of action plans.
  • Establish and oversee a supplier management strategy; ensuring value for money and key performance metrics are being met; manage contracts, overall supplier relationships and regular reviews e.g. Mechanical and Electrical Contracts, Buildings Maintenance, Utilities, Security, Cleaning etc.
  • Assist in managing the property and facilities budget, ensuring maximum value for money. Including space management plans.

What Success Looks Like:
  • A welcoming and engaging workplace environment is maintained, with front-of-house space that reflects MVF's culture, contributing to a positive employee experience.
  • Space requirements are clearly understood, planned, and executed ahead of need.
  • Ensuring MVF offices are validated against compliance with relevant legislation and standards. Consistency in office standards is maintained where relevant.
  • Positive working relationships with suppliers; pushing for more efficient agreements, quick resolution of issues and exceptional customer service.
  • All ordering and space needs, including amenities like coffees and breakfasts, are efficiently managed, ensuring that office spaces are well-stocked and meet employee needs. With the addition of facilitating the needs of any engagement event or client visits.
  • Supporting reporting requirements, including Environmental, Social, and Governance (ESG) metrics, are met with accuracy and timeliness, supporting MVF's commitment to sustainability and responsible business practices.
  • Active participation in relevant committees drives continuous improvement in Facilities and Space, leading to increased employee engagement and satisfaction.
