Are you ready to rethink your routine? We’re looking for an Office Manager and Personal Assistant to own the day-to-day running of our Head Office and support our Managing Director. This role will report into the Personal Assistant to our CEO and Founder and will combine looking after our Chelsea office with providing personalised and timely administrative support to support our Managing Director.

The Role 

Your daily to-dos might look like this:

Office Experience & Management:

  • Maximising the space to create a productive and positive working environment, making sure that our physical office space adds to our culture, and remains spotless and fit for purpose
  • Ensuring the office and meeting rooms are kept clean and tidy, whiteboards are wiped and the rooms are all set up correctly for all meetings, liaising with the cleaners
  • Meeting and greeting guests as the first point of contact for visitors and taking deliveries
  • Owning the logistics of our hybrid work model by ensuring any necessary desk plans, hot-desking and seating arrangements work for the team including tracking office footfall
  • Daily building management including access, health and safety and courier deliveries
  • Leading the relationship with our landlord and being the initial point of contact
  • Obtaining regular feedback on office experience, in partnership with People and proposing improvements
  • Ordering office groceries and maintaining the TL product stock cupboard, as well as the off-site storage unit (Fulham)
  • Organising all ad-hoc social events such as launch parties, office drinks, charity events etc., including all planning, logistics and budgets 
  • Sourcing venues and organising the logistics of the day for quarterly Town Hall meetings; owning the entire event planning process from end to end
  • Monitoring office expenditure, streamlining where possible and working with Finance

PA to MD:

  • Acting as first point of contact for all diary and meeting enquiries for the MD both internally and externally - ensuring everyone receives a timely, quality response
  • Being responsible for diary management for the MD, coordinating meetings, setting up appointments as well as reminders
  • Providing support by attending meetings when needed, circulating agendas pre-meeting and follow up notes
  • Oversight and management of MD’s email inbox 
  • Managing expenses and monthly claims
  • Planning all business travel arrangements for the MD
  • Organising monthly Exec meetings (finding venues, preparing venue/room, booking refreshments etc.)
Requirements

These skills will help you go far in this role:

  • Experience in an office support and/or office admin role
  • Proven experience providing administrative PA/EA support to an Exec member
  • High degree of integrity and experience in managing confidential information
  • Exceptional organisational skills with ability to juggle multiple and changing priorities, and ability to prioritise your day effectively
  • Fully proficient in G-Suite
  • Excellent attention to detail and accuracy in all aspects of work 
  • Resilient under pressure, with ability to positively manage change and unforeseen situations
  • Previous experience with event planning and project management skills through to completion to ensure all tasks are actioned
  • Excellent written and communication skills
  • Ability to take the initiative and work with high levels of autonomy
  • A true positive attitude, high energy & people-centric mindset and have the confidence to be first port of call for all Trinny London employee queries
  • Warm, friendly, confident and roll your sleeves up attitude
