The Role in a NutshellWe are looking for a proactive, high-energy Office & Engagement Manager to be the heartbeat of our London headquarters. This isn't just about keeping the lights on; it’s about creating a world-class environment where our team feels inspired, supported, and productive.
You will own the London office end-to-end, acting as the "go-to" person for all local operations and employee experience in the office. Your goal is to streamline our physical space and administrative processes, ensuring that founders and leadership can focus on scaling the business while you ensure the engine room runs perfectly in our London office.
Key Responsibilities1. Office Operations & Facility Management
End-to-End Ownership: Manage the daily running of the London office, including access control, maintenance, and building management relationships.
Vendor Management: Source and manage external suppliers (cleaning, catering, repairs, events suppliers) and proactively seek "upgrades" to the office environment.
Supplies & Perks: Run the daily "office engine”, ordering breakfast, managing plant care, and ensuring office supplies are always stocked.
Space Planning: Own the seating plan and desk allocations, ensuring the layout evolves seamlessly as our team grows.
2. Employee Experience & Onboarding
First Impressions: Lead the in-office onboarding experience, including office tours, access setup, and ensuring every new hire’s desk is "day-one ready."
Offboarding: Manage the physical logistics of offboarding, ensuring equipment is returned and access is revoked smoothly.
The "Go-To" Resource: Triage and resolve all team queries related to the workspace, acting as a buffer for the Founders and BizOps teams.
3. Events & Engagement
Event Execution: Lead the administration and "on-the-day" delivery for team events, ranging from casual weekly socials to major milestones like the Christmas party.
Culture Building: Partner with the People team to ensure the office vibe reflects our values and keeps morale high.
4. Logistics & Business Operations
Travel Coordination: Own team travel logistics, with a specific focus on US cohort trips and group travel coordination.
IT Liaison: Partner with the Head of IT to manage local equipment logistics—handling laptop setups, returns, replacements, and basic troubleshooting.
Admin Central: Take over distributed admin tasks (vouchers, scheduling, general ordering) to centralize and professionalize our operations.
5. Process Architecture
Documentation: Create clear, repeatable, and documented workplace processes. You aren't just doing the job; you're building the "Office Playbook" that we can scale to future global locations.
The "Fixer" Mentality: You are resourceful, solutions-oriented, and nothing is "too small" for you to handle.
Exceptional Organiser: You can jump from coordinating a flight to the US to fixing a coffee machine without losing your cool.
Hospitality Mindset: You genuinely enjoy helping people and making their workday easier.
Tech Savvy: Comfortable with basic IT troubleshooting and familiar with tools like Slack, Google Workspace, and HRIS systems.
Process-Driven: You love a good SOP (Standard Operating Procedure) and enjoy turning chaos into a repeatable system.
This is a unique opportunity to define the workplace culture of a growing company. You will have a high degree of autonomy to "upgrade" our environment and will be a foundational member of the Operations team.
