About the Role
Are you an enthusiastic and proactive individual looking to support a dynamic team in a fast-paced, global environment? We are seeking an Office Assistant to support the EA to the CEO at Matillion, a leading tech company, at our luxurious HQ near Spinningfields, Manchester. This predominantly office-based role (4–5 days per week) is a unique opportunity to work closely with the Senior Executive Assistant to the CEO, providing essential support with diary management, expenses, ground travel arrangements, and other administrative tasks.
In this role, you’ll assist the EA to the CEO in managing day-to-day operations, helping to streamline workflows and free up time for high-priority initiatives. You will also collaborate with the Office Manager to tackle day-to-day tasks, particularly during busy periods or when executives are in the office for meetings. Key responsibilities include organising meetings, assisting with office events, and welcoming guests and executives. What you will be doing
- Administrative Support: Provide comprehensive support to the CEO team, including diary management, travel arrangements, daily office transport, and expenses. Assist with events, meetings, and other office-based tasks while deputising for the EA to the CEO.
- Event and Team Coordination: Organise department events in collaboration with the EA to the CEO, Office Manager, and wider EA team. Support department planning, calendars, and foster strong relationships across teams.
- Relationship Building: Build and maintain strong relationships with all departments to ensure seamless communication and collaboration.
- Cultural Leadership: Lead by example in upholding company policies, processes, and the code of conduct. Promote inclusion, diversity, and safeguard company culture by addressing issues proactively.
- Flexibility and Commitment: Work flexibly across time zones, meet tight deadlines, and be office-based in Manchester 4-5 days per week to support the dynamic needs of the role.
What we are looking for
- Technical Skills: Proficient in G Suite and/or MS Office, with experience managing schedules, documents, and correspondence in an office assistant or administrative role.
- Relationship Building: Proven ability to build professional, collaborative relationships across teams and departments, fostering effective communication and teamwork.
- Detail-Oriented and Organised: Strong focus on accuracy and detail, with the ability to prioritise multiple tasks and take ownership of them through to completion.
- Discretion and Adaptability: Demonstrates discretion and confidentiality, with a flexible approach to working across time zones and adapting to non-standard hours when needed.
- Culture and Values: Enthusiastic about working in a company that prioritises culture and values, contributing positively to a supportive and inclusive environment.
At Matillion, we are committed to providing competitive salaries in line with market standards. Our estimated compensation range for this position is £25,000 - £35,000, but the final salary will be based on your relevant skills, experience and qualifications demonstrated in the hiring process.
