Bristol City Leap
Bristol City Leap is an innovative partnership between Bristol City Council and Ameresco Ltd which will accelerate green energy investment in Bristol and help towards decarbonising the whole city.
Over the next five years, Bristol City Leap will deliver nearly £500 million into low carbon energy infrastructure, such as solar, wind, heat networks, heat pumps and energy efficiency measures – all of which will help Bristol meet its carbon reduction targets of becoming carbon neutral by 2030.

Role Scope
This is a new opportunity for an Administrative Assistant will play a key role in the day-to-day efficient operations of the Bristol office. Working directly within Bristol City Leap Operations Team and assisting the UK HR Business Partner when necessary, providing a consistent, collaborative approach. This role is office based in Central Bristol.
This role will be assisting in all office management activities including:

Supporting the Communications and Social Value Manager, and the wider team with the delivery of engagement and social value activities.

Supporting engagement activities with various stakeholder groups including VCSE partners, business, supply chain partners and local residents.

Coordinating events for the Communications and Social Value team.

Acting as a liaison between other professionals in the office ensuring a collaborative, supportive workplace.

Acting as liaison with the Building Management to advise of upcoming visitors or relay important building notifications to staff.

Greeting of clients/visitors to Bristol City Leap Office.

Ensuring secure buildings access for staff and visitors.

Distributing of visitor badges and keeping up-to-date visitor book.

Preparing rooms for external/internal meetings including refreshments when required.

Booking internal/external meeting and events when required.

Maintaining/ordering supplies for the Office.

Maintaining records for Office Safety, including Fire Wardens and First Aiders.

Overseeing safety records for visiting office maintenance contractors.

Coordinating training course bookings for the team.

Receiving/distributing incoming post and parcels

Assisting the Management Team and UK HR Business Partner when required.

Supporting the onboarding of new colleagues.

When capacity allows, supporting the Programme Management Office enabling the potential opportunity to grow and learn within the company as the business expands.

Supporting ad hoc administrative requests such as Finance and IT to support business needs.
Minimum Qualifications

Moderate level of knowledge of Microsoft Office Tools, including Outlook, Word, Excel, PowerPoint and SharePoint.

The successful candidate will be enthusiastic, confident and have a flexible approach to work. They will be customer focused, passionate about energy efficiency and renewable energy. They should be able to demonstrate strong organisational skills including the ability to multi-task, prioritise work under pressure and complete within deadlines.
