 Due to continued growth, we are seeking an Office Administrator to join our experienced team and play a key role in supporting the effective day-to-day running of the business across multi-disciplines including facilities, people and events administration.

What You’ll Do: 

  • Facilities & Office Management
  • Coordinate new office set-ups
  • Support office openings or relocations, including equipment, layout coordination, and supplier liaison to ensure readiness for staff.
  • Manage cover for office opening and lock-up
  • Ensure daily office access is covered, coordinating responsibilities for opening and securing the premises. Cover when the other Facilities Administrators are off sick or on leave.  
  • Oversee facilities issues and improvements
  • Act as the point of contact for facilities-related matters, logging issues, coordinating repairs, and driving continuous improvements.
  • Manage water cooler delivery schedule
  • Coordinate regular deliveries, monitor usage, and liaise with suppliers to ensure uninterrupted service.

Key Responsibilities

  • Coordinate the smooth day to day running of the office, including facilities management, office set-ups, relocations, supplier coordination, and ensuring the workplace is safe, compliant, and fully operational.
  • Manage visitor arrangements, reception cover, office access, and workplace services to deliver a professional experience for employees and guests.
  • Oversee office supplies, equipment, and facilities maintenance, working with external suppliers to resolve issues and drive continuous improvements.
  • Support health and safety activities, including coordinating first aiders, fire wardens, compliance training, and workplace initiatives.
  • Lead the organisation of employee engagement activities, including company events, work experience placements, Lunch & Learn sessions, EDI initiatives, and internal communications.
  • Provide administrative support across the business, including coordinating training, company events, payroll and benefits administration, and maintaining accurate HR records and compliance documentation.
  • Work closely with teams across the business to ensure the office and people operations run efficiently, supporting a positive employee experience.
    • Payroll Administration:
      -      Assist the Office Manager with the preparation and submission of payroll related data (including annual P60 and leaver P45 documentation) ensuring all employee, remuneration, benefit, and deduction changes are accurately processed in line with payroll deadlines and compliance requirements. Ensure records are accurately maintained and securely stored within employee HR files.
      -      Compile and validate annual benefits data, including company vehicle insurance, director benefits, entertainment expenses, and private medical insurance. Submit consolidated data to the accountants for P11D preparation. Review completed P11Ds for accuracy, maintain individual records, and upload finalised documents to the HR System.
    • HR Administration
      -     Maintain the Bamboo HR System to ensure people data is accurate
      -     Administration of the Private Medical Insurance, EV, and Cycle to Work schemes. Manage enrolment and removal processes, eligibility, ensure records are accurate and changes communicated to the provider.  Retrieve quotations and add information to payroll.

      -     Manage end of probation reviews, track probation periods, prompt managers for feedback, prepare documentation, and confirm outcomes to employees in writing.
      -     Monitor and record employee sickness absence, particularly long-term cases and maintain records.
      -     Management of maternity and paternity processes. Support employees through leave processes, prepare and obtain relevant documentation, track entitlements, and ensure payroll and records are kept up to date.

    Requirements:

    • Strong organisational skills and attention to detail.
    • Good MS Office skills, including excel.
    • Knowledge and experience of using HR systems preferred (but not essential)
    • Ability to manage multiple tasks and priorities in a fast-paced environment.
    • Good communication skills, both written and verbal.
    • Ability to support the business across wide ranging tasks/priorities.
