Multi Services Assistant

Salary: £30,230.50 per annum, plus company benefits

Location: London, WC2A 3LH

Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, 9am until 5:30pm with 1 hours unpaid lunch break

Work model: Fully onsite

Williams Lea seeks a Multi Services Assistant to join our team!

Purpose of role 

The primary focus of the Multi Services Assistant will be to support all the service lines we deliver to our client with a particular focus on Legal Admin within The Property Department on a daily basis to ensure all tasks are completed within the time frame specified. You will be responsible for ensuring all Legal Admin activities are completed accurately and efficiently, including:

  • Printing, scanning and copy requests
  • Binding Documents
  • Folding large plans
  • Sewing and document finishing
  • Digital scanning of files and documents
  • Archiving and scheduling old files to go to records
  • Replenishing stationery hubs on the floor and making sure they are tidy
  • Converting and combing documents
  • Electronic filing
  • Carrying out ad hoc administration tasks as per department

This role is client facing - you will be be based in the department. You must be proactive and efficient as you will be working very closely with the Departmental Support Managers, Team Leader and Account Manager. You also might be asked to assist in other departments with the following tasks:

Post Room

  • Sorting incoming mail
  • Delivering post on scheduled runs throughout the day
  • Booking couriers, tracking deliveries and informing the client of any issues
  • Processing outgoing post via the Royal Mail website
  • Scanning incoming post and courier items
  • Digitally filing incoming post and processing items on Mstore
  • Hand-delivering bundles and documents to local addresses within a set distance from the office
  • Responding to general ad-hoc queries

Docucentre

  • Batch printing, scanning and copying requests
  • Binding documents
  • Folding large plans
  • Sewing and document finishing
  • Scanning incoming mail
  • Merging documents and other PDF tasks

Support Archiving/Records Service

  • Moving archive boxes around building
  • Retrieving boxes from storage
  • Scheduling documents for archiving
  • Updating database
  • Responding to general ad-hoc queries

OS and Facilities support

  • Raising FHD tickets and completing jobs assigned
  • Assisting office moves
  • Meeting room set ups and set downs
  • Completing access control tasks
  • Supporting general ad-hoc duties

Personal attributes

  • Previous experience working in an office environment
  • You must have basic knowledge of working with Microsoft software
  • A strong team player with an enthusiastic, positive, can-do attitude and professional manner at all times
  • Keen to learn and progress
  • Be flexible to meet client requests, learning new tasks and expanding knowledge within the role
  • Excellent time keeping and planning/organisational skills
  • Happy to support all service lines as needed
