Multi Services Assistant

Salary: £28,860 per annum, plus company benefits

Location: London, EC2Y 9SS

Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, 9am until 5:30pm with 1 hours unpaid lunch break, must be willing to work the hours between 7am and 11pm where needed

Work model: Fully Onsite

Williams Lea seeks a Multi Services Assistant (Legal) to join our team!

Purpose of role

The Multi Services Assistant will provide a professional service covering print and mail room,  scanning, courier and records management to all employees and contractors. You will assist the client to meet deadlines and produce a high standard of work, putting the customer/client first and foremost.  The Multi Services Assistant will mostly work 9.00am to 17.30, but must be willing to work between the hours of 7.00am to 23.00 as and when the role requires.

Key responsibilities

  • Lifting and shifting of heavy boxes
  • Deliver and collect items from loading bay area
  • Deal with all incoming mail, scanning all documents to client recipients
  • Print, scan and copy documents for the client making sure work is quality checked and sent back correctly
  • Deal with outgoing mail
  • Book outgoing couriers and deal with incoming couriers quickly and efficiently, scanning documents to client recipients
  • Assist with records and archives tasks when required
  • Assist with stationery; check and stock cupboards and record items that need ordering
  • Build relationship with clients and manage their perceptions and expectations
  • Support colleagues and work as a team in order to achieve the best results for clients
  • Comply with departmental procedures

Personal attributes

  • A willing and enthusiastic attitude
  • Good PC skills with knowledge of Microsoft Word and Excel
  • Previous Post room and Reprographics experience would be preferable but not essential
  • Good customer service skills
  • Able to think outside the box and make decisions if required in the absence of the Team Leader or Senior Operator
  • Able to handle difficult situations well and to act appropriately
  • Display an adaptable and flexible approach
  • Team player – not only within their team but personable and will help out wherever required to get the job done
