Role Overview

The Operations Assistant supports the end-to-end delivery of media campaigns by ensuring accurate setup, tracking, approvals, reconciliation, and billing across internal systems and stakeholders. This role is highly detail-oriented and process-driven, working closely with local teams, media operations, finance, and planning leads to ensure campaigns run smoothly and compliantly.

Key Responsibilities

Campaign Setup & Tracking

  • Add new campaign details to the campaign tracker and maintain accurate, up-to-date status throughout the campaign lifecycle.
  • Confirm local teams have updated the PO tracker and saved approved POs in the designated PO folder for all biddable elements.
  • Update campaign tracker statuses with PO approval confirmation and approved values.
  • Confirm approved media plans have been uploaded by local teams to the dashboard folder and reflect updates in the campaign tracker.

Purchase Order & Financial Management

  • Add approved POs to MX Maintenance and update PO values as required.
  • Request PO approvals in MX Maintenance via email and follow up as needed.
  • Maintain accurate records of PO values across trackers and systems.

Media Operations & Platform Setup

  • Raise HappyFox tickets to Media Ops team to set up campaigns in Prisma, ensuring PO and media plans are attached.
  • Where creatives are not yet available, raise tickets to initiate campaign setup in Prisma ahead of creative delivery.
  • Make ad hoc amendments in Prisma as required during the campaign lifecycle.

Spend Tracking & Reconciliation

  • Update the biddable spends tracker with new campaigns and associated POs.
  • Liaise with biddable teams to confirm spend tracker accuracy and completeness.
  • Raise HappyFox tickets to Media Ops team reconciliation teams to reconcile Prisma bookings

Billing & Reporting

  • Once reconciliation is confirmed, check and approve billings in MX Explorer against Prisma and the biddable spends tracker.
  • Export billing data to Excel and share with relevant stakeholders, providing approval to bill.

Key Skills & Attributes

  • Great attention to detail and accuracy, particularly with financial and tracking data.
  • Comfortable working across multiple systems (e.g. trackers, Prisma, MX Maintenance, MX Explorer).
  • Clear and professional written communication, especially for audit-compliant approval requests.
  • Ability to manage multiple tasks and deadlines across concurrent campaigns.
  • Proactive, organised, and confident liaising with cross-functional teams.
