Contract : Full-time, one year contract

Purpose of the role :

You will support two teams of LLT (Legal Leadership Team) leaders responsible globally for matters in Corporate and Technology and Innovation, sometimes beyond these two teams. The legal team have different backgrounds, cultures and professions, you will be supporting the diverse team to create a human and positive working environment. Through managing their day-to-day admin and legal support and you will work with many lawyers and teams in all the regions of Chanel, a true global multi-national environment.


Your primary responsibilities will be: 


Administrative:

  • Support on budget tracking and management for both teams including being the key contact point with FP&A to ensure both teams’ accounting and invoicing are properly recorded and accrued, managing matter opening and law firm invoicing on our procurement system.
  • Managing the T&E budget and organise travel arrangements and expenses for both Associate General Counsel, Corporate and Associate General Counsel, Technology and Innovation, and extended team members for special events/meetings.
  • Calendar management for both LLT members, and back up calendar management support to the Executive Assistant for Chief Legal Officer.
  • Taking lead or co-lead in organising events for the two teams, beyond that for across LLT / Team meetings (external and internal),  
  • Lead or be part of a project teams for transversal ones for mainly London based projects (e.g. work experience weeks, psychological safety workshops, Legal innovation days…etc.)

Legal Support:

  • Assist with drafting legal documents, policies, procedures and letters, using existing templates
  • Help prepare presentations, spreadsheets and reports
  • Help proof-read and sanity check legal documents
  • Support on signing process for contracts
  • Assist with additional projects, such as preparing training materials, assist with powerpoints, etc.

You will:

  • Be a team player, have a can-do attitude and a problem-solving mindset
  • Have excellent written and verbal communication skills in English and, preferably, working knowledge of French
  • Have a strong work ethic and be trustworthy
  • Be capable of prioritising under pressure, have great project management skills, have excellent attention to details
  • Be tech-savvy, have excellent knowledge of Microsoft Office (0365 Word, PowerPoint, Excel, SharePoint, Teams), and be keen to learn the use of new tools
  • Be curious and have a sense of humour
  • Able to speak up with new ideas and proposals

Education and Experience:

  • Experience in administrative assistance and supporting senior executives
  • Bachelor’s degree preferred
  • Experience working in a legal setting preferred
  • Experience working in a law firm preferred
