Location: Bath

Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, 9.00am-5:30pm, 1 hour unpaid lunch break

Work model: On-site

Williams Lea seeks a Legal Administrator to join our team!

Purpose of role

The Legal Administrator’s principal role is to provide the client with the administrative support they need to provide seamless legal services to their customers and help them maximise the amount of time they are able to spend on fee-earning tasks.

Key responsibilities

  • Virtual diary management

  • Updating data on CRM system

  • Providing a defined administrative service, including file opening and closing, following standard operating procedures

  • Raising queries and concerns with designated individuals, as required

  • Recording tasks and other management information, as required

  • Completing reporting tasks, as required

  • Producing and maintaining Excel spreadsheets, where required

  • Liaising with fee earners, PAs, secretaries and other business support departments as required

  • Answering the telephone, taking messages and returning calls

  • Contacting customers of client firms to gain personal and/or matter related information

  • Taking an active role in the care of clients and being wholly familiar with all processes

  • Entering, maintaining and updating details and relevant information on the client systems as required

  • Assisting others whenever there is spare capacity or where a colleague needs assistance with their workload

  • Working effectively with other legal and support departments as required

Personal attributes

A legal administrator values quality and delivery of work above all else and has the responsibility to ensure that their skill set is up to date and they are familiar with the company and client’s departments, key personnel, internal systems and procedures. This will ensure that they are able to carry out their role effectively and, where appropriate, discuss any training requirements with their line manager.

You should also have;

  • Advanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint, research tools and other systems implemented by the firm.

  • Excellent telephone manner and competent knowledge of telephone systems

  • Excellent communication, organisation and team skills

  • Excellent attention to detail

  • Flexible and dependable, able to take the initiative

  • Able to remain clam under pressure and work to tight deadlines and defined SOPs

  • Conscientious, approachable and enthusiastic

  • Able to quickly build confident, respect and trust with others

  • Have a positive approach to daily tasks and have a solution focused working method
