We are hiring an Investment Administrator to support two Investment Managers within our London office. This is a varied and important support role, working closely with the Investment Managers to deliver a high-quality service to private clients, financial advisers, professional partners and other third parties.

The role would suit someone who is organised, professional, detail-focused and takes pride in producing accurate work within clearly defined processes. You do not need to be an investment specialist, but you should be comfortable working in a busy, client-focused environment, eager to learn new systems and willing to develop a good understanding of how an investment management team operates. The role sits within Investment Management but is focused on administration, client service and operational support.

This is a 12-month fixed-term contract to provide maternity cover. While the role is offered on a fixed-term basis, there may be scope for future opportunities within the team or wider business for a candidate who performs well, subject to business needs.

The role is based in our London office (minimum 4-days). Regular office presence will be essential, so that the successful candidate can learn the role, build relationships and become effective quickly and work with minimal supervision.

Core responsibilities

  • Acting as a first point of contact by email and telephone for clients, financial advisers, support staff, professional services firms and other third parties.
  • Responding promptly and professionally to queries, using internal systems and liaising with the Investment Manager, support colleagues and relevant internal teams where needed.
  • Speaking to high net-worth private clients to arrange meetings, respond to administrative queries or confirm data changes.
  • Liaising with in-house teams to book meeting rooms and client lunches.
  • Management of the Investment Managers diaries.
  • Supporting the full lifecycle of client accounts, including new account opening, ongoing administration, client data updates and account closures, ensuring processes are completed accurately and in line with internal procedures.
  • Preparing presentation packs for client meetings, including collating performance data and updating figures, charts and supporting information.
  • Processing suitability reviews through the CRM system, ensuring Know Your Client (KYC) information is accurately recorded and assisting with follow-up suitability letters.
  • Assisting with withdrawals, changes of service, standing order changes, address changes and other account amendments.
  • Preparing account valuations, statements, investment proposal documentation and new account paperwork.
  • Managing electronic completion of application forms using Adobe DocuSign.
  • Supporting clients or advisers with access to the online portal.
  • Saving communications and documents accurately to internal systems.
  • Drafting and responding to client correspondence, including emails and letters.
  • Providing support to other Investment Managers or team members where required.

Skills & attributes

  • A high level of accuracy, discretion and professionalism when handling client information and correspondence.
  • A calm, professional and personable telephone manner.
  • Good written communication skills, including the ability to draft clear emails and letters.
  • Ability to prioritise effectively and manage several tasks at once.
  • Comfortable working in a busy environment, particularly during quarter-end, tax year-end and other peak periods.
  • Good judgement, including knowing when to resolve a query within your remit and when to seek guidance or escalate.
  • Able to manage recurring tasks proactively and follow matters through to completion once familiar with the role.
  • Good working knowledge of Microsoft Office, particularly Word, Excel and PowerPoint.
  • Previous experience in wealth management, investment management, financial planning or similar is strongly preferred.
  • Experience with systems such as Figaro, CRM or similar platforms would be helpful but is not essential.
  • Relevant industry qualifications are not required but would be welcomed.

About You

You may already have experience in a similar support role within wealth management, investment management, financial planning or another professional services environment, and be ready to step into a front-office team to add value from day one. You are able to integrate quickly and contribute effectively with limited supervision after a short orientation period. Alternatively, you have a strong track record in an administrative role within another professional sector and can clearly demonstrate the ability to transfer those skills quickly into a wealth management environment.

You will be organised, reliable and conscientious, with the ability to learn quickly and take ownership of regular tasks. You will be comfortable dealing with clients, advisers, colleagues and third parties in a professional manner, both by phone and in writing.

The role would suit someone who is quietly capable, takes pride in doing things properly and enjoys being an important part of a busy team. You won’t necessarily be the loudest voice in the room, but you should be able to communicate clearly, ask sensible questions and work with increasing autonomy as you become more confident in the role.
