Role Overview

The Infrastructure Coordinator plays a vital dual role within the Infrastructure team. Combining core administrative support with junior project and programme coordination, this role ensures the department operates efficiently day-to-day while maintaining strong alignment with SailGP’s central planning frameworks.

This position is ideal for an organised, proactive administrator looking to step up and build a career in programme coordination. You will take full ownership of essential department admin - focusing heavily on procurement support and team travel - while maintaining the operational "drumbeat" of the team. Working closely with the Infrastructure Director, you will manage weekly meeting agendas, track deliverables on Monday.com, and ensure the team hits its key One Event Plan (OEP) milestones.

Key Responsibilities

Core Department Administration & Logistics

  • Procurement Support: Manage purchase orders (POs), invoice tracking, supplier onboarding, and procurement administration in close coordination with central finance and procurement teams.
  • Team Travel & Onsite Logistics: Coordinate team travel schedules, accommodation bookings, and visa applications alongside the central travel team to support global event deployments.
  • General Administrative Support: Maintain department document repositories, manage supplier contact lists, and provide broad administrative support to keep the Infrastructure function running smoothly.

Programme Coordination & Planning Alignment

  • Team Cadence & Drumbeat: Maintain the operational drumbeat for the Infrastructure team, driving tracking on Monday.com to ensure deliverables and milestone deadlines are consistently met.
  • Meeting Ownership & Reporting: Own the weekly team meeting agenda alongside the Infrastructure Director, utilising live One Event Plan (OEP) dashboards to review progress, track actions, and highlight upcoming milestones.
  • Planning Framework Integration: Support the team in adopting standard planning templates, guidance, and governance processes, acting as the primary liaison with the Central Planning Office.
  • Documentation & Dashboard Support: Help prepare operational planning documents, presentations, and status updates for internal reviews and senior leadership reporting.
  • Continuous Improvement: Identify practical administrative or process improvements within the department and take ownership of assigned coordination tasks to drive them to completion.

Key Expectations

  • Strong Administrative Foundation: Solid experience managing core administrative tasks, specifically purchase orders, invoice tracking, and travel coordination.
  • Proactive & Organised: Exceptional organizational skills with the ability to manage competing priorities, keep a team on track, and follow up on outstanding actions.
  • Tech-Savvy & Systems-Focused: Comfortable working with modern project management and administrative tools (proficiency in Monday.com, Google Workspace, and procurement/ERP software is highly advantageous).
  • Clear Communication Skills: Confident interpersonal skills with the ability to build strong working relationships within the Infrastructure team, cross-departmental administrative peers, and external suppliers.
  • Growth Mindset: High level of initiative, attention to detail, and a genuine desire to develop project and programme coordination skills in a fast-paced, global sports environment.

Location 

Based in the UK with a requirement of at least 3 days per week in the London office.
