The Global Events Specialist is a member of the Celonis Global Events team and supports a range of work-streams across our portfolio of events. You help ensure that, from planning through showtime, all elements are executed seamlessly — before, during, and after our events.

You will be supporting our annual flagship event Celosphere conference in Munich with more than 3.000 customers and partners and more than 100 sessions.  - our leading event of the year. 

You will have the opportunity to lead and contribute to a variety of work-streams, including event concept creation, event management, registration and ticketing, sponsorship, promotion, staffing & housing, expo floor, production, analytics and reporting, and more. You will work with a broad group of in-house stakeholders and external resources, collaborating throughout the months long process leading up to each event with teams like Celonis Brand and Design, Product Marketing, Digital Marketing, Field Marketing, PR and Comms, Sales, Services, Ecosystem, as well as agencies and vendors that provide services for our events. 

To work across various work-streams, it is critical that you have top-notch skills in project management, communication, and focused execution — as well as collaborative and creative spirit.

We’re looking for a hands-on operator who is ready to take on the challenge of bringing our events to the next level and ensuring seamless delivery against our ambitious goals. A strong passion for creating unforgettable experiences for our community is a must!

This role reports to the Director of Global Events.

The work you’ll do:

  • Own, manage and drive multiple work-streams for Celosphere, the annual Celonis conference for customers and partners, a multimillion euro, 3000+ attendee conference, such as Operations and Logistics, Floorplan Management, Staffing and Housing, etc. 
  • Own and define end-to-end the strategy for your work-streams to ensure it integrates seamlessly into the broader event vision.
  • Manage our agencies and vendors to ensure they deliver innovative, high-impact results on budget within your work-streams. 
  • Work across different departments and manage multiple stakeholders to ensure all voices are heard while keeping the project on track.
  • Optimize and document your work-stream processes and report against the defined success metrics.

The qualifications you need:

  • 5+ years working on large-scale corporate events and conferences.
  • Experience in physical and digital event organization, execution, and measurement.
  • Experience working with a variety of event formats: large-scale conferences and exhibitions,  exclusive executive events, and everything in between.
  • Experience in floor plan management including expo halls, staffing and attendee traffic flow
  • Experience in managing the logistics and handling of the sponsors 
  • Experience in creating customer journeys and working on event content (session topics, etc.) and event promotion on a variety of channels to translate goals and messaging into attendee experience.
  • Strong project and task management skills: organizing and prioritizing tasks in a project management tool like Monday.com, delivering against deadlines, executing and tracking multifaceted projects and processes in spreadsheets, slides, and other tools.
  • Strong communication skills: coordinating and engaging with multiple stakeholders on projects, presenting to large groups of contributors to ensure alignment and enablement.
  • Experience in managing project budgets and reporting on metrics.
  • A strong sense of ownership for your initiatives, projects, and goals.
  • The agility and flexibility to adapt to a fast-paced environment with multiple priorities and stakeholders at a high-growth company on the cutting edge of AI technology.
  • Ability to be a calm, decisive operator on show days: to prioritize, communicate, and solve problems quickly with minimal disruption.
  • Ability and willingness to travel in order to be on-site for major events.
  • Ability and willingness to work remotely across time zones, occasionally doing virtual meetings during off hours.
