A facilitator supports the Datacentre with various administrative tasks and ensures the facility is well maintained. They are responsible for the management of all site upkeep contracts, which includes annual renewal negotiations, PO processing, invoicing, and establishing relationships with the vendors. Facilitators handle ordering and stocking of food and beverages through out where required, along with supply ordering. They research, plan and execute all internal team events, prepare various managerial reports on a weekly basis, and support the concierge as needed.

This role will require once weekly travel to our Data Centre at Park Royal (NW10)

Responsibilities

  • Provides support to Datacentre facilities, on semi-routine administrative duties

  • Follows standard procedures on answering incoming phone calls

  • Reviews and responds to semi-routine work request systems (i.e., dispatch, updates, etc.)

  • Maintains the conference room and tour schedules while customers are on-site

  • Directly coordinates activities with the Equinix Response Centre (ERC), as needed

  • Keeps records of activities within the Datacentre including circuit inventories, installed power inventories and labour hours expended

  • May generate purchase requisitions and coordinate with vendors for delivery and invoicing

  • May assist with special projects

Customer Support

  • Communicates semi-routine operating Datacentre procedures to customers on-site, while building and developing positive customer relationships

  • Coordinates semi-routine customer work visits with security and escorts customers and/or vendors, within a reasonable vicinity, as required

  • Assists with tracking, following-up, and reporting on semi-routine customer inquiries and issues while customers are on-site; identifies potential trends in customer inquiries and issues

  • Addresses semi-route work visit tickets in the system

  • Provides general induction learning tours to new customers to orient them to the site

  • Directs customers (via direct line) throughout the facilities, as needed

Onsite Customer Liaison 

  • Supports the coordination of tasks to the appropriate cross-functional teams

  • Maintains positive business relationships with local vendors in support of customer's administrative needs; provides information about local vendors to customers upon request

  • Sends customer's datacenter templates by phone, e-mail and/or printouts

  • Maintains customer care areas/conference rooms for cleanliness and fully stocking amenities as required; may provide backup coverage to cross functional teams to support inventory ordering

  • Partners with teams in the tracking of customer shipments when on-site

  • Uses developing knowledge to discern customer satisfaction related issues and escalates appropriately

Datacenter Support

  • Scheduling of Conference rooms.

  • Internal operations Event Planning and assisting other departments with planning of events in the Datacenter, onsite events coordinator for internal Datacenter and Campus events. Making sure catering is provided and conference room facilities are available

  • Datacenter Report compiling for Management team, Compile Datacenter raw data for report preparation for other teams to use

  • Vendor/Contract management of common facilities contracts such as support of Audio-Visual Equipment Maintenance/Repair, support Maintenance of /Repair of conference room furniture, cleaning and landscaping

  • Ordering of office consumables supplies and staff uniforms, furniture, plants, stationery and accessories

  • The facilitators to support Datacenter Managers with external local emergency response agencies and internal health and safety teams

Qualifications

  • Proven years experience strongly preferred

  • Bachelor's degree in Business Management preferred but not essential
