Description:

The Executive Assistant provides high-quality administrative, coordination, and operational support to leaders within QuadReal’s International Investments team in Europe. Reporting to the Office Manager & Executive Assistant, the role supports a defined group of executives and/or senior team members and contributes to the effective day-to-day operation of the London office.

Key Responsibilities

Executive & Team Support

  • Provide proactive and comprehensive administrative support to a designated group of executives and senior team members across the Investment, Legal, and Asset Management departments.

  • Manage calendars, scheduling, and meeting coordination across time zones

  • Coordinate domestic and international travel arrangements

  • Process expenses, invoices, and corporate credit card reconciliations in line with company systems and policies

  • Support document production, formatting, printing, and binding as required

  • Provide ad-hoc administrative support to team members as needed

  • Act as a coordination point between executives, internal teams, and external stakeholders

  • Provide backup support to other Executive Assistants when required

Office & Team Coordination

  • Support the coordination of internal and external meetings, including room bookings, technology setup, and catering

  • Maintain organized filing systems, records, and shared documentation

  • Build strong working relationships with Executive Assistants, administrative colleagues, and cross-functional partners globally

  • Assist with planning team and office events as required

Office Services

  • Support general office coordination activities if required, including coverage during periods of absence (e.g., Office Manager leave), subject to business determination

  • Assist with office services such as mail handling, visitor coordination, office supplies, and facilities-related requests

  • Liaise with internal corporate support teams (e.g., IT, Facilities, Security) to resolve office or operational issues

Experience & Qualifications

  • 5 years’ experience in an Executive Assistant, Team Assistant, or comparable support role

  • Experience supporting multiple stakeholders in a professional, fast-paced environment

  • Strong organizational and time-management skills with the ability to manage competing priorities

  • High level of professionalism, discretion, and confidentiality

  • Strong written and verbal communication skills

  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); comfort with HR, finance, and expense systems

  • Experience in financial services, real estate, or professional services is an asset
     

This position is a hybrid role that requires 4 days a week in office.
