Role Summary

This role provides invaluable support to the Chief Strategist & CEO of Capital Markets – this is a growing business area within Marex offering a range of Fixed Income, Rates and Equity products, encompassing 700+ employees and net revenues of ~$780m in 2025. To help the smooth running of this vast business, you will be performing a variety of administrative tasks including scheduling meetings, offering professional correspondence to internal and external stakeholders and arranging travel. You will take responsibility to efficiently organise the CEOs busy schedule which relies on pro-active time management, effective communication and the ability to prepare presentations, ensure deadlines are met (e.g. for mandatory training) and keep important files up to date for record keeping.

Responsibilities

  • Extensive, proactive calendar and diary management
  • Ensure that the Chief Strategist & CEO of Capital Markets is provided with materials required for any meeting in advance
  • Manage inbox and sending responses on behalf in accordance with an agreed protocol
  • Screen and direct phone calls and manage correspondence received for the attention of the Chief Strategist & CEO of Capital Markets
  • Providing general administrative support
  • Ad hoc project work as required
  • Prepare and distribute meeting agenda and other relevant materials, and take minutes when requested to do so
  • Book business travel arrangements, including flights, transportation, and lodgings for the Chief Strategist & CEO of Capital Markets and other employees travelling with them
  • Communicate with Board Members and schedule regular catch ups with the CEO and the NEDs
  • Solve simple IT problems and contact the IT department when necessary
  • Maintain electronic filing system, ensuring compliance with Data Retention and Data Privacy regulations
  • Maintain a strong working relationship with the senior team and with the other executive assistants
  • Submission of expenses in accordance with the T&E policy
  • Liaise with tax advisors and immigration advisors as necessary
  • Maintain location tracking spreadsheet to include in tax returns
  • Maintaining contact database and updating as required
  • Provide the Chief Strategist & CEO of Capital Markets with regular reports of direct reports holiday and other absences
  • Manage events and co-ordinate Vendors as required, attend events if required
  • Organising company gifts
  • Invoice management

Skills and Experience

  • Significant experience in a similar role supporting a senior stakeholder
  • Financial services experience essential with some experience in a plc environment preferred
  • High level of discretion and confidentiality
  • Commercial awareness
  • Strong written and verbal communication skills – ability to engage with colleagues, investors and other stakeholders across the business comfortably and confidently
  • Strong Microsoft Office skills – Word, Excel, Outlook, PowerPoint
  • Excellent time management and organisational skills
  • Excellent attention to detail and accuracy
  • Positive, pro-active, and mature approach to problem solving
  • Able to remain calm under pressure and demonstrate resilience under pressure
  • Flexible and adaptable – able to multi-task with ease
  • Educated to A-Level standard or equivalent. A degree-level qualification would be advantageous, but is by no means essential
